We are seeking a self-motivated, organized, and detail-oriented individual to perform critical administrative tasks related to data and records management from our office in Syracuse, NY.

About the Role
The data entry clerk supports our Records Manager and performs several critical functions including processing mailed in pet license payments, verifying rabies vaccination and spay/neuter certificates, formatting and organizing data records, opening and cataloging return mail, updating customer service requests, and maintaining the organization of all files received and processed in our Syracuse office. As the documents received from pet owners are time-sensitive, the data entry clerk must have excellent time management, prioritization and communication skills to be successful in this role. In addition, the successful candidate is expected to have a very hands-on attitude and be willing to roll up their sleeves and help out with other duties as assigned.
Responsibilities:
A data entry clerk is responsible for:
- Regularly scheduled mail pick up and sorting
- Processing mailed in pet license order forms and payments through DocuPet’s online system
- Scanning and uploading pet documentation into DocuPet’s online system
- Formatting and organizing data records in spreadsheets
- Organizing and filing all pet owner documentation, ensuring it is secure and easily accessible
- Following all best practices and guidelines related to the storage and security of records
- Contacting pet owners regarding issues with mailed in pet license order forms and/or payments, and address changes
- Contacting our vet partners regarding questions or issues with vaccination documentation when necessary
- Merging pet owners accounts if they have duplicate accounts set up on DocuPet’s online system
- Organizing and re-sending return mail daily
- Operating FP folder inserter machine to fulfill outbound letters
- Operating FP postage machine to apply postage to outbound letters
- Being proactive by implementing or suggesting changes/ideas to processes you use daily
- General office organization, assisting associates in stocking, and other duties as assigned
Requirements:
