DODGE COUNTY JOB POSTING: Records Support Specialist – Sheriff’s Office

POSITION TITLE: Records Support Specialist – Sheriff’s Office

DATE OF CLOSING: Open Until Filled

ACCOUNTABLE TO: Chief Deputy

HOURS: Office hours Monday - Friday, 8:00 a.m. to 4:30 p.m. (40 hours per week)

JOB PURPOSE: Under the general supervision of the Chief Deputy; answers phones, tends to the public window, manages appointments; completes computer data entries, updates, corrections or related duties as needed for Office records. Processes civil service, criminal records, and provides clerical support.

WAGE RANGE: $ 19.05 - $25.34 per hour

PRIMARY DUTIES AND RESPONSIBILITIES:

Answers all phone calls on multi-line phone system for the Sheriff’s Office during regular business hours.

Records Public Window: Makes contact with the public; Sets up U.A. testing for Court, Probations and/or Human Services; Process & issue new burn permits for local residents; Process and prepare all permit to purchase & permit to carry holders & applications; Processes paperwork & releases evidence and/or impounded vehicles.

Assists public in completing required online forms and navigating the Sheriff’s Office Website

Composes a variety of correspondence to include booking notices, voiding of gun permits, warrant notices to the general public, and worthless check notifications to individuals and financial institutions.

Performs Receptionist duties, and other duties as assigned.

JOB REQUIREMENTS: Ability to establish and maintain effective working relationships with supervisor, co-workers, officials, and the general public. General knowledge of office procedures. Knowledge of Data Privacy laws. Ability to hear and speak clearly to communicate with people under stress in emergency situations. Ability to document records clearly and accurately. Ability to correctly follow oral and written instructions. Ability to exercise approach to problem solving, analytical thinking, and independent thinking as it relates to departmental and county procedures, problems, and policy.

MINIMUM QUALIFICATIONS: High School Diploma or equivalent (G.E.D.) Must be able to get certified with the State of Minnesota for CJIS/NCIC. Work well with other department personnel. General knowledge of office procedures. Experience or knowledge in maintaining financial reports. Computer skills and accuracy. Subject to criminal background check.

ESSENTIAL FUNCTIONS: May require stooping, crouching, reaching and standing, with longer periods of sitting, writing, typing, talking, hearing, seeing, filing, manual dexterity and other repetitive motions.
