Dogtopia, the industry leader in dog daycare, boarding, and spa services has an immediate opening for an energetic, organized, business-minded individual that will be the first point of contact as a front desk coordinator and shift leader. This is a key role within our business to grow the number of dogs in daycare and explain the benefit of our services to beloved pet parents. This role will be cross trained as a Canine Coach and Rover. This person should love dogs – and, upon successful completion of training, you can even bring YOUR dog to work with you! What a bonus!

What you can offer us:

Day to Day Duties

  • Data entry
  • Maintaining Pet Parent information and Dog files
  • Greeting EVERYONE that walks in or out of Dogtopia!
  • Understanding Dogtopia’s retail items
  • Create effective daily room schedule
  • Make copies, receive and send faxes as well as monitor confidential information that may be received through phone calls, faxes or in person
  • Record accurately health and behavioral notes in pet files and communicate those with both shifts and with customers in a professional manner
  • Take dogs to appropriate playroom based on size and temperament and retrieve them
  • Prepare medications and special needs lists based on parent’s requests
  • Maintain confidentiality in Dogtopia practices and all aspects of the business.
  • Proficient in POS software (training to be provided)
  • Checking in and out of daycare dogs, checking appropriate spa services for departure, stamping passes correctly
  • Noting which dogs owe for the day or services and collecting on balances
  • Checking in a boarding dog, confirming out date and pick-up time, spa services, emergency contact, feeding instruction, any medications required, noting every belonging brought and labeling everything accordingly
  • Creating daycare passes and adding them to a pet profile
  • Conduct evening closing procedures including transaction totals and balancing the cash drawer
  • Actively communicates team development needs and issues with Assistant Manager, General Manager, and the entire management team regularly to ensure growth
  • Proven ability to offer verbal and written feedback to team members to hold accountability standards

Clean and Safe Environment to ensure our furry friends are always in a safe and clean environment, we take pride in working as a team to get all the nitty gritty complete.

  • Maintain and update cleaning schedule, along with holding themselves and team accountable to the Dogtopia’s safety and cleaning standards
  • Inventory management of cleaning, dog, and First Aid supplies
  • Communicate with pet parents regarding dogs’ ongoing behavior issues and monitor action plans to manage minor issues

Health and Grooming

  • As a member of the team you will be taught how to bathe, trim nails, clean ears, and brush teeth.
  • Will learn how to identify dog breeds and behaviors
  • Report dog incidents right away if they occur for safe wound cleaning if needed
  • Work with team to ensure our Quality of Care sets the standards for dog care

Customer Service and Presentation

  • Ability to work cohesively with their team in a respectful and professional manner
  • Knowledgeable on pricing and services
  • Maintains a neat and organized Front Desk team and area at all times
  • Sets the example for the team on the 3 S’s (smile, story, and satisfaction) and hold accountable to internal and external customer service standards.
  • Answer phones, emails, and questions from pet parents

As a shift leader, it is expected that Team Leaders may be assigned special projects, duties, and responsibilities in addition to the above list to develop further growth towards management positions. Out of store events are one of those extra duties. As a front desk coordinator, you are responsible to work with all customers and team members to ensure our customer experience sets the highest standards and satisfaction of our customers.
