Job Title: Dog Daycare Front Desk
Position Overview: As a Front Desk Associate at Dogtopia, you will play a crucial role in creating a welcoming environment for pet parents and their furry friends. You will manage daily operations at the front desk, ensuring smooth check-ins and communications while maintaining a clean and organized workspace.
Key Responsibilities:
1. Morning Operations:
o Turn on all electronic devices and set up daily logs and notebooks.
o Review previous day's activities in Orangebook and Daily Tracker.
o Check scheduled appointments, messages, and emails.
o Approve requested appointments via the Dashboard.
o Assist Rover with laundry and pet supplies as needed.
2. Pet Check-In Process:
o Welcome and check-in pets, ensuring all information is accurate (vaccination records, plans, etc.).
o Collect and log lunches for pets.
o Conduct mid-morning attendance checks to ensure all pets are accounted for.
3. Pet Parent Communications:
o Monitor and respond to messages via phone, email, and the Dashboard.
o Prepare for and conduct Meet & Greets, ensuring all necessary paperwork is complete.
4. Boarding Management:
o Assist with boarding check-ins and check-outs, confirming all details and instructions.
o Inventory pet belongings during check-in when time permits.
o Enter feeding and medication data into the system for departing boarders.
5. Daily Reports and Record Keeping:
o Prepare report cards for highlighted pups and document coach notes.
o Research and email birthday photo frames to pet parents.
6. Cleaning and Maintenance:
o Perform regular cleaning routines in the lobby and office areas.
o Ensure all surfaces, floors, and restrooms are kept clean and sanitary.
7. Afternoon Duties:
o Review notes from the morning shift and check the grooming calendar.
o Prepare for afternoon Meet & Greets and follow up with any outstanding communications.
o Manage checkout procedures, ensuring accuracy in billing and documentation.
8. Miscellaneous Tasks:
o Print necessary documents and maintain office supplies.
o Assist in special event preparations and updates.
o Social Media Posts
o Help Create Enrichment Calendar
o General Sales help
Qualifications:
· Passion for dogs and customer service.
· Strong communication skills, both verbal and written.
· Ability to multitask and stay organized in a fast-paced environment.
· Proficiency in using computer systems and software.
· Previous experience in customer service or a similar role is preferred.
