We are seeking a friendly, organized, and compassionate receptionist to join our veterinary clinic. The receptionist is the first point of contact for clients and plays a critical role in creating a positive, welcoming environment. You will handle a variety of administrative tasks, manage client appointments, answer calls, and assist with patient intake to ensure smooth clinic operations.
Key Responsibilities:
- Client Interaction:
- Greet and check in clients and their pets with a warm and friendly demeanor.
- Answer and manage phone calls, providing information on services, pricing, and appointment availability.
- Schedule appointments, send reminders, and follow up with clients as needed.
- Process client inquiries, both in person and over the phone, and provide excellent customer service.
- Administrative Duties:
- Manage client records, inputting accurate and detailed information into the clinic’s system.
- Process billing and payments, including handling insurance claims and financial inquiries.
- Prepare and maintain patient files, ensuring all forms are completed properly.
- Assist with inventory management, including tracking and ordering office and medical supplies.
- Communication & Coordination:
- Liaise with veterinary technicians, doctors, and other team members to ensure effective patient care.
- Assist in preparing clients for procedures and explain post-visit care instructions.
- Handle emergency appointments and provide clients with instructions in urgent situations.
- General Office Support:
- Maintain the cleanliness and organization of the clinic.
- Manage the clinic’s email and respond to client inquiries.
- Process medical records and ensure proper confidentiality of client and patient information.
Qualifications:
- High school diploma or equivalent (preferred).
- Prior experience in customer service or administrative roles (experience in a veterinary or medical setting is a plus).
- Strong communication and interpersonal skills.
- Proficient with office software (Microsoft Office, clinic management systems, etc.).
- Ability to multitask and stay organized in a fast-paced environment.
- Empathy for animals and their owners.
Physical Requirements:
- Ability to stand or sit for extended periods of time.
- Some light lifting may be required (up to 20 lbs).
