Owners of a Salon/Spa and Cafe looking for a detail-oriented, highly organized Executive Assistant with bookkeeping skills to provide comprehensive support to the owners and help manage both administrative tasks and financial responsibilities.
Position Overview:
The Executive Assistant will play a key role in helping the owners by managing day-to-day administrative tasks and handling essential bookkeeping functions. You will work closely with the owners to streamline operations and ensure that the business remains on track and organized. This role is ideal for someone who enjoys variety, is proactive, and has a strong ability to multitask in a fast-paced environment.
Qualifications and experience needed:
Detailed oriented individual with hands-on bookkeeping experience.
Key Responsibilities:
Administrative Support:
- Prepare reports, presentations, and other business documents.
- Assist with special projects, business development, and other tasks as needed.
Bookkeeping & Financial Management:
- Manage daily financial transactions, including invoicing and receipts.
- Process accounts payable/receivable, and track expenses.
- Reconcile bank statements and credit card transactions.
- Assist with preparing monthly and quarterly financial reports.
- Collaborate with the owner to track and manage the business budget.
- Support the preparation of tax documents and work with external accountants.
General Operations:
- Maintain organized filing systems for business records and financial documents.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong bookkeeping and financial management experience, preferably with knowledge of accounting software.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- A positive attitude, flexibility, and a solutions-oriented approach to problem-solving.
- Small business experience is a plus but not required.
- Must drive and have access to a car for running errands
