Contract Administrator

Position : Contract Administrator

Program : Finance

Reports to : Director of Finance

Compensation : $65,000-$75,000, DOE, Full-Time. Benefits include medical, dental, vision, long-term disability, life insurance, flexible spending account, commuter benefits, paid holiday, paid sick leave, generous vacation with Summer Recess and Winter Recess, and 401(K) with employer matching.

Position Description :

Mission Action, a progressive social justice organization dedicated to promoting a just and inclusive society, is seeking a Contract Administrator. You will play an important role in ensuring the integrity and adherence to contractual obligations within our organization. You will be ensuring the efficient management and oversight of contracts and agreements critical to our agency's operations. You will collaborate closely with various departments and programs, funders, and government to execute and maintain contracts, while ensuring compliance with relevant regulations and organizational policies.

Key Responsibilities :

Contract Management

  • Monitor and review contract terms, expenditures, and milestones; submit monthly, quarterly or final invoices to grantors as required and in a timely manner.
  • Ensure awards are set up properly and that cost-sharing requirements are fulfilled.
  • Support in the development, preparation, and finalization of project budgets and provide budget justifications.
  • Collaborate closely with various departments and programs, funders, and government to execute and maintain contracts.
  • Participate in contract closeout process; submit final financial reports and certificates.

Compliance Oversight :

  • Monitor contracts for compliance with funding requirements, grant stipulations, and donor restrictions.
  • Stay updated on funder requirements, relevant laws, regulations, and industry standards to ensure compliance in contract administration.
  • Conduct periodic audits and reviews to identify and address any compliance issues proactively.
  • Communication and Coordination :

  • Serve as a primary point of contact for internal departments and external parties regarding contract-related inquiries.
  • Develop and communicate financial reports supporting project status to relevant agency staff.
  • Facilitate effective communication between stakeholders to ensure clarity and alignment on contract terms and obligations.
  • Coordinate cross-functional teams as needed to address contract-related challenges and resolve disputes.
  • Risk Management :

  • Assess and mitigate risks associated with contract terms, including financial, legal, and operational risks.
  • Identify potential areas of exposure or liability and recommend strategies for risk mitigation.
  • Documentation and Reporting :

  • Maintain accurate and up-to-date records of all contracts, amendments, and related documentation.
  • Generate reports and analytics on contract performance, compliance status, and other key metrics as required.
  • Prepare documentation for internal and external audits and reviews as necessary.
  • Other Organizational Duties :

  • Conduct business in accordance with the Mission Action Employee Handbook, exercising sound judgment and serving the best interests of the agency and the community.
  • Work within the framework of the agency's mission, vision, values, theory of change, and organization's commitment to diversity, equity, and inclusion, restorative justice, trauma-informed work, and language justice.
  • Commit yourself to treating each community member with respect and dignity.
  • Perform other duties as assigned.
  • Knowledge, Skills, and Abilities :

  • Background in and passion for working with low-income and immigrant communities around issues of affordable housing, land use, and / or immigrant & worker rights; familiarity with these issues in the Mission District and San Francisco, highly desired.
  • Bachelor's degree in business administration, Finance, Legal Studies, or a related field.
  • Experience with accounting software; experience with Sage Intacct desired.
  • Proven experience three years in contract administration, preferably within a non-profit organization or a similar environment.
  • Strong computer skills, MS Excel in particular (managing spreadsheets, creating charts, and using advanced formulas).
  • Excellent analytical skills.
  • Attention to detail and accuracy.
  • Team management skills.
  • Ability to prioritize work.
  • Bilingual in spoken and written Spanish, highly desired.
