Job Summary: The Operations Associate plays a vital role in supporting DASI’s programs by ensuring accurate data entry, tracking key statistics, and assisting with grant reporting to maintain compliance and measure impact. This position collaborates with program leads to update procedural manuals, streamline workflows, and coordinate special projects that enhance service delivery. Additionally, the Operations Associate provides executive support, assists with onboarding, and contributes to fundraising and community engagement efforts.
The staff person in this position is salaried, therefore exempt from overtime compensation, and is considered an essential employee. Regular hours may be conducted remotely; however, travel to the office in Andover, NJ, and events in Sussex County, NJ, will be needed on occasion.
Responsibilities:
Program and Agency Support
· Ensure proper entry of all DASI statistics in the agency database
· Type, copy, and email documents as needed and deliver finished project to program lead according to schedule
· Update Program Operations Manuals, Standard Operating Procedures, and forms with the guidance of ED and department directors to ensure optimized workflow
· Assist with special projects as needed
· Assist staff in preparing for annual community events
· Serve as staff liaison with insurance providers
· Assist with onboarding processes, including background check processing and benefit enrollment
· Provide hotline coverage as needed
· Provide crisis intervention as needed
· Provide information and referrals as needed
· Provide accompaniment to hospitals, police stations, court appearances, and other relevant appointments as needed
Statistics, Outcomes, and Grant Oversight
· Work with department directors to establish which statistics should be collected and what outcomes should be measured. Ensure that department directors have the tools necessary for tracking statistics and outcomes properly.
· Work with department directors to develop, write, and submit grant proposals.
· Work with Finance Director to complete statistical and narrative monthly/quarterly grant reports to maintain compliance.
· Compile program’s client satisfaction surveys and provide summary for grant reports.
Executive Assistance & Fundraising
· Manage the Executive director’s calendar, emails, and meeting logistics as needed.
· Maintain donor database with updated contact information, entering donations, and issuing receipts.
· Prepare reports, presentations, and other documents.
· Handle correspondence and communications with outside stakeholders.
· Participate in regular supervision with supervisor.
· Participate in ongoing professional development and training.
· Maintain and communicate highlights of program for social media posts, media releases, grant applications, and annual report.
Qualifications
· A bachelor’s degree is required, preferably in business administration, public administration, nonprofit management, social work, or a related field. An equivalent combination of education and relevant experience may be considered. Prior experience in administrative support, data management, or operations in a nonprofit or human services setting is strongly preferred.
· MS Office software & computer literacy skills required.
· Skills with databases, or ability to learn, is a must
· Excellent interpersonal, organizational, and written communication skills are required.
· Able to organize, prioritize, and work independently with minimal supervision.
· Flexibility in terms of hours, requires some evenings/weekends.
· Demonstrate an openness to work within a strength-based framework of empowerment.
· Feminist analysis of domestic and sexual violence and of the economic, social and emotional barriers encountered by survivors.
· Commitment to cultural humility, diversity, and inclusion is required.
· Completion of 60-hour domestic violence and sexual assault intervention course within three months
· Represent DASI to the community and articulate agency philosophy, policies, and procedures
· Valid driver’s license, proof of current auto insurance, and driving agency van required at times.

Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
