Office Manager
Reports To: Operations Director
Salary: This is a 1.0 FTE non-exempt position. Pay begins at $46,010-$50,856
($22.12 - $24.59) annually, based on experience. Full salary range is $46,010-
$60,550.51

DVSAS Mission
The mission of DVSAS is to support individuals affected by domestic violence
sexual assault, and sexual exploitation, and to lead the community toward ending
those abuses of power.
Position Summary
The Office Manager is responsible for providing administrative support to the daily
operations of DVSAS. Primary responsibilities include accounting support,
administrative management, and agency communications and outreach support.
This role also provides supervision for reception, administrative volunteers and
interns, and employment placements through the Community Jobs Program. The
Office Manager is also responsible for providing effective oversight of
administrative projects, including the provision of administrative support and file
management for accreditation compliance. The Office Manager works closely with
the Operations Director and Accounting Manager to assess internal processes,
manage resources, and support projects in alignment with agency goals.

Responsibilities
The duties of this position include and are not limited to the following:
Office Management & Administrative Support
- Supervision of the Receptionist & Office Coordinator, administrative interns,
volunteers, and employment program placements, ensuring smooth
reception and office operations.
- Ensure adequate coverage of reception during business hours and provide
approximately 8-12 hours of coverage weekly.
- Organize, maintain, and update personnel and Board of Directors files,
rosters, and electronic training and attendance tracking systems, ensuring
compliance with accreditation, funding, and certification requirements.
- Serve as an administrative project manager for internal file audits, archiving,
policy updates, and process changes that support smooth and efficient
office operations.
- Manage agency social media presence and update the DVSAS website, in
collaboration with the Development and Communications Director.
- Write and update relevant agency standard operating procedures, as
needed.
- Support the leadership team with Board of Directors relations and
administrative needs.
- Provide additional administrative support as needed.
Accounting Support
- Process Accounts Payable (AP), review invoices for accuracy, proper
documentation and approval, code to appropriate program, funding source
and general ledger account.
- Process Accounts Receivable (AR) monthly and record the payments from our
grantors and tenants.

- Support the processing of monthly grant billings and maintain accurate
grant accounting records and proper source documentation.
- Prepare deposits identifying the source and maintaining documentation.
- Assist in verification of timesheets, preparation of payroll reports and source
documentation.
- Manage employee benefits (medical, dental, vision, retirement, COBRA),
including managing bill payment and employee records within the payroll
system.
- Work with the leadership team for the annual benefits renewal for all
employee insurances.
- Maintain an organized filing system for all accounting records.
General Leadership Responsibilities
- Supervise reception staff and delegate work as appropriate. Conduct
performance evaluations and provide directions, assistance, and support
where necessary.
- Maintain vendor and community partner relations, coordination, and
collaboration, professionally representing the agency in written and verbal
communication.
- Maintain the highest level of confidentiality with employee information and
files.
- Participate in the development of organization goals and objectives.
Qualifications & Requirements
- Relevant experience (at least four years preferred), including
supervision/management experience (at least two years preferred).
- Completion of the agency’s Advocacy Core Training or equivalent and a
strong desire to work with survivors – survivors are encouraged to apply.
- Exceptional organizational and communication skills.
- Ability to inspire a team to implement DVSAS’s mission.
- Experience and knowledge of relevant local community resources.
- Access to reliable transportation, a current driver’s license, and vehicle

- Excellent verbal and written communication skills.
