Dominican University New York seeks a qualified full time Admissions Office Assistant who is detail-oriented and organized to support our team with data entry, record maintenance, and general office operations. This role helps ensure accurate and efficient management of student records in our Slate (CRM) and Jenzabar (SIS) systems while assisting with daily administrative tasks. The Office Assistant will be an essential part of our team, helping to keep processes running smoothly and providing valuable support to our admissions efforts.
Requirements:
Data Entry and Record Maintenance:
- Enter and update student records in Slate and Jenzabar.
- Organize and maintain application materials, including transcripts, test scores, and recommendation letters.
- Ensure accuracy and consistency of data across systems, performing periodic reviews to correct discrepancies.
- Assist with entering paper applications and managing Freshman IDD (Instant Decision Day) data.
Admissions Materials Management:
- Prepare and send inquiry packets, acceptance packages, and visit confirmation letters.
- Help maintain the organization and inventory of admissions materials, ensuring timely restocking.
Collaboration and Support:
- Work closely with recruitment counselors and other departments to keep student records updated.
- Generate reports from Slate and Jenzabar to assist with enrollment tracking.
- Support special mailings, projects, and events as needed.
Office Maintenance and Administrative Support:
- Submit and track facilities and maintenance requests to keep the office running smoothly.
- Monitor and replenish office supplies as needed.
- Assist with processing expense reports and reimbursements.
Third-Party Vendor Coordination:
- Communicate with vendors to ensure timely delivery of services and materials.
Qualifications:
- High school diploma or equivalent required; associate degree preferred.
- Experience with data entry or database management in an office setting (higher education experience a plus).
- Familiarity with Slate (CRM) and Jenzabar (SIS) is helpful but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and organizational skills.
- Ability to multitask, prioritize, and work efficiently in a busy environment.
- Good communication skills, both written and verbal.
