Executive administrator of the County Manager’s Office. Assist the Board of County Commissioners; perform a wide variety of complex and confidential administrative duties and administrative support functions, as well as supervision of support staff. The incumbent is required to exercise considerable initiative and judgment. ESSENTIAL DUTIES. Manage the County Manager’s calendar by scheduling appointments and meetings and arrange travel schedules and reservations for the County Manager, Assistant County Managers and County Commissioners.Act as liaison between the County Manager/County Commissioners/Directors, Public Information and Special Projects and County staff, vendors, the public and the media.Plan and prioritize items for the County Manager, Assistant County Managers, and the Board of County Commissioners (BOCC).Prepare and distribute agendas and packets for bi-weekly regular meetings of the Board of County Commissioners and for special and emergency meetings, as necessary.Follow up on assignments on behalf of County Manager request to other County staff to determine progress and date of completion.Supervisory responsibility for the support staff of the County Manager’s Office which include the interview, hire, and training of staff; assign work, appraise performance, coaching and corrective action as appropriate; approve leave requests and oversee timekeeping functions.Coordinate and supervise arrangements for official meetings of the County Commission and various staff meetings.Prepare departmental budget, recommendation, and justification; manage budget expenditures; analyze and maintain the department budget.Communicate, respond to, and resolve difficult and sensitive public inquiries and complaints in verbal and/or written form.Research requests and complaints and respond in person, by telephone, and in writing in accordance with established policies and regulations.Compose correspondence, reports, spreadsheets, requisitions, and documents; apply considerable knowledge of County objectives and policies; prepare and file official records as assigned; maintain accurate records and files; fulfill requests for supplies, equipment and/or materials needed.Compose reports based on research findings; examine reports, responses, legislation, or other materials to determine action needed or additional information neededDemonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.Attend meetings and post legal notices as required.Utilize a personal computer to prepare, edit, and review correspondence for the County Manager to staff or public.Responsible for maintaining confidentiality in all matters.Responsible for knowing and abiding by all department and County policies and procedures. ADDITIONAL DUTIES. Other duties may be assigned. QUALIFICATIONS.A. Education. Bachelor’s degree in business or public administration preferred; other related degrees will be considered. B. Experience. Four (4) years full time-time experience in administration in a government or corporate setting, of which two (2) years as a supervisor is preferred. C. Education/Experience substitution. In accordance with County policy. D. Licenses/Certifications. Valid driver’s license. E. Other (e.g., post-offer medical exam, polygraph, background check, driver’s license record, etc.). Background check and driver’s license check. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION: Must have knowledge of: Supervisory methods and techniques.Principles and practices of administration.Administrative research methods, techniques, and report presentation.Relevant policies, ordinances, resolutions, and applicable state and federal laws.Budget preparation and financial management.Business correspondence standards, including English grammar, formatting, basic mathematics, spelling, and punctuation.Computer software, with proficiency in Microsoft Office. Must have skills in: Conducting original research and performing administrative analysis related to policy and management.Producing clear, well-organized written documents with proper sentence structure, punctuation, and grammar.Effectively handling multiple tasks and managing unexpected challenges under pressure.Communicating professionally and effectively in English across different formats (e.g., verbal, written, group discussions, and telephone).
