What are the responsibilities and job description for the Office Manager with AR/AP position at Donahue Industries?
Office Manager who has interest and knowledge of all aspects of a small business – Marketing, Customer Service, Sales, Accounting, Human Resources, and Information Technology. Reporting to Vice President
Marketing:
· Assist in development, performance and tracking of marketing plan
Customer Service:
· Process incoming orders (order acknowledgments and confirmations [plus print])
· Process e-commerce orders through Amazon and EBay
· Answer customer inquiries via phone and email
o Pricing information
o Copies of invoices, order confirmations, etc.
o Package tracking
· Keep track of certificate of liability insurance for vendors
· Update and distribute NAFTA certificates to customers
· Provide a Certificate of Insurance for customers who ask for one
· Distribute Safety Data Sheets to customers
· Manage sales tax forms (W-9 [federal tax exemption] and ST-12 [Exempt Use Certificate]) (customers and vendors)
HR:
· Manage time off (vacation, sick)
· Employee Benefit Administration
Information Technology:
· Basic Information Technology troubleshooting
· Liaison with Third Party Tech Support for any major issues or projects
Sales:
· Inside Sales and sales support
o Research and contact potential customers
Accounts Payable:
· Bills: File receiving reports, process bills with receiving reports, and pay bills
· Process payroll and payroll taxes
· Process these reports: Trial Balance, Journal Entries, Adjusting Entries, Chart of Accounts, and Financial Statement
· Reconcile petty cash and all bank accounts
· Process bank statements
· Compile 1099 info via Quickbooks and send to independent contractors
· Work with auditor on financial information, including assets traded/scrapped and new equipment purchases
· Make transfers for bill paying and payroll
Accounts Receivable:
· Invoice customers
· Process cash received
· Develop reports
· Check all banks monthly to account for funds transferred to our banks
· Run Aging Report monthly and send delinquent account statements to customers
Production Support:
· Enter daily production into Quickbooks
- Prepare monthly Inventory Worksheets
· Reconcile inventory value with monthly physical audit
· Update Standard Operating Procedures with input from operators
· Place Purchase Orders for tooling per toolroom request
· Shipping support
o Create labels and packing slips for shipments
o Documentation for International Shipments
Other:
· Have knowledge of newest banking technologies and implement tools to streamline processes
· Update Quickbooks with most recent product costs
· File paperwork

Qualifications
- Skills:
- QuickBooks expert/certified ,
- Generally Accepted Accounting Principles, general computer, typing
- Education: Associate degree preferred
- Must be able to file, type, and lift 20 lbs.
- Speak, read, and write English fluently
- ERP experience
- Basic IT troubleshooting
