SUMMARY:
Support the acquisition of technology-related supplies and equipment for the district. Operate under direct supervision and adhere to established purchasing protocols for processing price quotes and purchase orders, ensuring the smooth and efficient functioning of the department. Abide by established procedures while carrying out general office tasks and clerical responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Purchasing
- Assist in initiating contact with vendors to check on supply and equipment availability, invoices, purchase orders, and contracts.
- Assist in obtaining and studying comparative prices and quotations.
- Assist in purchasing technology supplies and equipment for the district by informal quotations, and negotiations following established district criteria and state purchasing rules.
- Work cooperatively with district personnel to determine appropriate specifications, sources, availability, pricing, shipping, and receiving.
- Receive all technology-related equipment and distribute it to appropriate personnel.
Clerical
- Prepare and maintain vendor and bidder lists.
- Detect and resolve problems with incorrect orders, invoices, and shipments.
- Maintain complex physical and computerized files for the department.
- Track inventory levels, research vendors, compare prices, and ensure timely delivery of goods and services by coordinating with suppliers all while maintaining accurate records and adhering to district purchasing policies.
Other
- Sort, distribute, or deliver mail and other documents.
- Maintain confidentiality.
- Participate in staff development training programs to improve job performance.
- Participate in meetings and special events as assigned.
- Exercise professional judgment in absences; be punctual to work, meetings, and appointments.
- Perform other duties as assigned by the immediate supervisor.
SUPERVISORY RESPONSIBILITIES:

EDUCATION AND/OR EXPERIENCE:
High school diploma or GED
Three years clerical and accounting experience
CERTIFICATES, LICENSES AND REGISTRATIONS:
As required by the Texas Education Agency
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
OTHER SKILLS AND ABILITIES:
Knowledge of procedures for purchasing and invoicing supplies and equipment. Ability to work with numbers in an accurate and rapid manner. Ability to analyze and organize a complex filing system of bid-related documentation. Proficient typing, keyboarding, and file maintenance skills. Ability to use calculator (10-key by touch), printer, fax and copier. Ability to use personal computer and software to develop spreadsheets, databases, and do word processing. Effective communication and interpersonal skills. Ability to interpret policy, procedures and data.
PHYSICAL DEMANDS:
Occasional absences are understood but regular attendance is required.
While performing the duties of this job, the employee is regularly required to walk and talk or hear. The employee frequently is required to stand and sit. Repetitive hand motions and prolonged use of the computer are required of this employee. Specific vision abilities required by this job include close vision, distance vision, and depth perception. Light to moderate lifting is required.
This job requires the ability to handle and balance multiple demands at the same time. This position also requires meeting deadlines with severe time constraints, interacting with the public and staff and enduring irregular or extended work hours.
The employee must maintain emotional control under stress.
WORK ENVIRONMENT:
The employee regularly works indoors. The noise level is usually quiet.
