Job Title: Data Entry Clerk / Office Assistant
Location: Statewide Support (Remote/Office-Based)
Reports To: Director of Professional Learning / Executive Director
Job Summary:
The Data Entry Clerk / Office Assistant will provide essential technical and administrative support to a professional learning organization that serves a large network of charter schools across the state. The role involves data entry, document management, communication with stakeholders, and technical support. This individual will assist in implementing professional learning programs, support reimbursement processes, and help facilitate teacher certification and recertification.
Key Responsibilities:
1. Data Entry and Document Management:
- Accurately enter and manage data related to professional learning activities, reimbursement procedures, and certification processes.
- Organize and maintain records, ensuring that all documents are properly stored, managed, and accessible when needed.
- Regularly pull reports to capture professional learning activities completed by network schools and provide data summaries to leadership.
2. Stakeholder Communication and Support:
- Respond to inquiries from school leaders, teachers, and other stakeholders, providing clear and accurate information on professional learning programs and certification requirements.
- Communicate with stakeholders regarding reimbursement procedures and collect required documents for review.
- Offer technical support to team leaders and stakeholders as needed, ensuring seamless communication and problem-solving.
3. Administrative Support:
- Assist the Director of Professional Learning and other team leads in the development and implementation of professional learning initiatives.
- Support the Executive Director in organizing documents, reports, and communications to ensure smooth operations.
- Facilitate the recertification process by collecting and processing teacher applications, tracking deadlines, and communicating status updates.
- Perform additional administrative duties such as scheduling meetings, preparing communications, and assisting with general office tasks.
4. Technical Support and System Management:
- Provide technical support to staff and stakeholders, ensuring that systems and tools used for professional learning and certification are functioning effectively.
- Assist in managing online platforms used for submitting professional learning proposals, tracking completion, and managing reimbursements.
- Maintain accuracy in data entry and document management, ensuring compliance with state and organizational policies.
5. Collaboration and Teamwork:
- Collaborate with various departments to ensure that professional learning programs meet state requirements and organizational goals.
- Work closely with the Executive Director, Director of Professional Learning, and Director of Certification & Compliance team, to support the smooth operation of services offered to schools.
- Assist in the preparation of reports, summaries, and presentations for internal use or stakeholder meetings.
Qualifications:
Education: High school diploma or equivalent required; an associate’s degree or additional training in office administration, data management, or a related field is preferred.
Experience:
- Previous experience in data entry, office administration, or a similar role is preferred.
- Experience working in an educational environment or supporting professional development is a plus.
Skills:
- Strong attention to detail and accuracy in data entry and document management.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with a wide range of stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data management systems.
- Ability to handle multiple tasks, meet deadlines, and adapt to changing priorities.
- Problem-solving skills with the ability to provide technical support and troubleshoot issues as needed.
