SITE SECRETARY
GENERAL SUMMARY
Under the general supervision and direction of the site administrator, serves as personal/confidential secretary facilitating the administrative function of the school with pupils, teachers, staff and the public; makes decisions based on sound judgment/discretion which can have a significant impact on the credibility of the school and District with the public; provides necessary support to relieve site administrator of clerical/administrative detail, and performs other duties directly related to this job description.

PRINCIPAL DUTIES AND RESPONSIBILITIES
Serves as liaison to teachers, students, staff and parents and performs necessary secretarial/clerical duties for other administrative personnel, teachers and support staff assigned to the school.
Enrolls students, maintains and updates student records/files (attendance, cumulative files, health records) which may contain information of a confidential or sensitive nature.
Receives visitors, answers the telephone, provides general information and explains District/school rules, regulations and procedures to teachers, students and parents.
Composes correspondence on a wide range of subjects requiring a thorough knowledge of policies and procedures of the school/District and types a variety of materials such as letters, memoranda, bulletins, requisitions and statistical data.
Receives, sorts and distributes incoming/outgoing mail, books and supplies, and maintains records as necessary.
Responsible for daily cash receipts for money collected from students/staff for cafeteria program; manages Associated Student Body accounts.
Calls substitute teachers or paraprofessionals as needed, monitors monthly time sheets for classified employees.
Prepares absence verifications for all staff members, obtains signatures, and sends to the District office weekly.
Checks instructional and office supplies, issues supplies as needed, orders and inventories supply stock as necessary.
Ensures that there is appropriate staff supervision of students during lunch and recess periods.
Administers first aid to students when necessary, gives medication under direction and notifies parents of illness or injury when necessary.
Maintains accurate records of school fire drills and emergency preparedness drills.
May receive sensitive/private information, ensuring that such information is maintained according to office policy and legal standards.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
Ability to see and read, with or without vision aids; ability to hear and understand speech at normal levels; ability to communicate so others will clearly understand normal conversation.
Knowledge of correct English usage, grammar, spelling, punctuation and vocabulary and basic math skills.
Ability to perform a variety of complex secretarial and clerical work involving use of independent judgment and requiring accuracy and speed; skill in prioritizing tasks.
Ability to operate a variety of office machines and equipment including typewriter, copier, word processor, calculator and computer terminal and printer as required, two-way radio.
Ability to input on a computer keyboard at the rate of 60 words net per minute.
Skill in interpreting, applying and explaining District rules, regulations and procedures and familiarity with appropriate sections of the Education Code.
Ability to establish and maintain cooperative working relationships with those contacted in the course of work.
Ability to maintain a high level of confidentiality pertaining to all school matters.
Ability to prioritize and appropriately schedule work load or tasks to meet established deadlines.
Ability to meet the public courteously and tactfully in situations which require diplomacy, friendliness, and firmness.
WORKING CONDITIONS
Dexterity of hands and fingers to operate standard office equipment including a typewriter or computer terminal to type letters, reports and other materials; bending, reaching to maintain files; hearing to answer telephone; speaking to exchange information, and sitting and operating a keyboard to enter data into a computer terminal for extended periods of time.
Moderate to high stress level.
ENVIRONMENTAL CONDITIONS
Indoor office environment, school setting.
Temperature – normal climate.
JOB PARTICULARS
When providing first aid services, all body fluids shall be handled as if infectious. Disposable waterproof gloves are to be worn when coming into contact with body fluids. After each use, gloves are disposed of in a lined waste container.
CONTACTS
Daily contact with students, parents, teachers, all school and District staff.
Occasional contact with community members and outside agency personnel..
OCCUPATIONAL CERTIFICATES/LICENSES
Valid California driver’s license.
First Aid and CPR certification.
Annual Blood borne Pathogen/Hep B Training.
EMPLOYMENT STANDARDS
Education equivalent to the completion of the twelfth grade. At least one year of experience in a school setting. Preferably several years experience with increasingly complex secretarial responsibility.
Dexterity and physical condition to maintain a rigorous work schedule and meet standards of physical and mental health. To perform this job successfully, an individual must be able to perform each principal duty satisfactorily.
