Job Description:
We are seeking an organized and proactive Administrative Assistant to join our organization. You will support our staff with clerical duties, including answering emails, managing calendars, membership records, maintaining and organizing files, assisting on-site with meetings. When necessary, you will also input information into our database to ensure our electronic files are updated.
Job Responsibilities:
- Scheduling and coordinating meetings, interviews, events, and other similar activities
- Assist with other data analysis and reports
- Preparing meeting minutes, meeting notes and internal support materials
- Coordinating between departments and operating units in resolving day-to-day administrative and operational problem manage files
- Assist in the coordination of initiatives, promotions, and programs
- Manage department expense reporting and assist with budget reconciliation
- Assist with travel arrangements including compiling and preparing expense reports
- Establish and manage calendar, incorporating all events and staff travel
- Coordinate with other departments to help meet needs
- Periodic duties as a receptionist when staff are out of town
- Other operations and accounting support, as needed
Job Qualifications:
- ~2 years experience as an administrative assistant
- High school degree and some college education
- Highly organized. Attention to detail
- Highly motivated self starter
- Strong communication skills
- Experience handling and protecting confidential information
- Advanced Excel, Word and PowerPoint Skills
