Job Description:
Provides analytical and specialized administrative support of a non-routine, non-repetitive nature to relieve and assist executive, administrative, line, and staff managers with complex details and advanced administrative duties. Typically supports one or more managers and/or staff in a department or administrative unit, or may support multiple departments. Executes special or continuous research and data analysis. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations for action by superior. Contacts company personnel at all organizational levels to gather information and prepares reports. Makes appointments, travel arrangements, and meeting arrangements, and coordinates activities between departments and outside parties. Answers telephones, screens calls, and forwards messages. Answers routine correspondence and routes mail to the appropriate persons. Composes, prepares, edits, and proofreads letters, reports, and other correspondence. Assignments may be found in various functional areas of the company such as finance, marketing, engineering, manufacturing, human resources, etc. Typically uses software packages for word processing, spreadsheets, databases, graphics, and desktop publishing applications. Operates general office equipment such as personal computer, typewriter, Dictaphone, copier, calculator, fax, or other office machines. Work is generally of a critical or confidential nature and requires a broad working knowledge of departmental and company practices, policies, programs, and product lines. Under limited supervision and acting on own initiative and direction, provides moderately complex administrative support for one or more departments or administrative units. Researches and obtains information for routine and moderately complex reports and special assignments.
Job Responsibilities:
- Compiling, Reviewing, and sending in expense reports for each Director/VP in a timely manner to meet strict monthly or bi-monthly deadlines
- Ordering Office supplies to stock International break & copy rooms
- Preparing meeting minutes, meeting notes, and internal support materials
- Scheduling and coordinating meetings, interviews, events, and other similar activities
- Coordinating between departments and operating units in resolving day-to-day administrative and operational problems
- Manage files
- Assist with special projects on occasion
- Coordinate occasional activities
- Prepare team reports
- Various Data entry
- Request and authentication of CFS/GMP documents as needed
- Invoice and contract management
Job Qualifications:
- Ability to work well in a team environment
- Excellent Verbal and written communication skills
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Strong organizational skills
- Excellent time management skills and ability to multi-task and prioritize work
- Detail-oriented and comfortable working in a fast-paced office environment
- Willingness to do tasks outside of set job description
- High School Diploma or equivalent
