What We're Looking For
Double L Management is seeking a Compliance Assistant to support our group of construction companies with keeping our ducks in a row. This position is nestled in with our Accounting family, but think more contract-reviewer, fine-detail-finder, fine-detail-inputter, knower-of-all-things type of vibe.
We are looking for someone who scours contracts as if they were bestselling books, is extremely detail-oriented (see previous comment), and a great manager of their own time. Someone who communicates efficiently, effectively, and follows up to ensure tasks are completed correctly and on time. Likely someone who loves puzzles (no? just me?) - ok, if not, then someone who loves the finer details and can spot the needle in a haystack. But really - who doesn't love a good puzzle?

Responsibilities of the Position (what you'll do all day once your coffee kicks in)
Contract Management
- Manages and tracks the contract review, approval, and signature process, forward to attorney, and follow up on recommendations as needed.
- Distributes portions of contract to the appropriate team member, requesting needed information/documentation/actions and follows up to ensure accurate completion.
- For example, safety documentation, prevailing wage, CCIP/OCIP, billing info, etc.
- Files fully executed contracts accurately
Project Management/Accounting Job Set Up & Review/Compliance
- Reviews general job information in Project Management/Accounting software for accuracy.
- Updates job set-ups for job-specific reporting requirements.
- Requests, sends, and saves certificates of insurance.
- Requests and processes job-specific bonds.
- Requests and saves tax exemption certificates.
- Communicates job-specific reporting requirements with appropriate team members.
- Reviews job budget setup for accuracy and follows up with Project Managers.
- Sends updated certificates of insurance to general contractors annually prior to expiration.
- Maintains and renews all company registrations and certifications.
Sub-Contract Document Management
- Creates and sends sub-contract packages for signature as requested by Project Manager.
- Ensures job-specific compliance requirements prior to sub-contract creation to ensure sub-contractor has the ability to be in compliance.
- Requests and maintains required sub-contract documentation per original job contract prior to job startup.
- Tracks expiration dates of sub-contractor compliance paperwork and obtains new documentation prior to expiration.
Job Closing Documentation
- Reviews job reports monthly for ability to close and researches outstanding issues prior to closing.
- Maintains incentive list for closing jobs.
- Provides Closed Job Metric reports to CFO monthly for review.
Miscellaneous
- Other duties as assigned.
Experience & Skills
- High school diploma or GED required
- 3-5 years of relevant experience preferred
- Let's talk type of experience. We are open to all types of candidates and would especially love any with experience working in legal and/or construction insurance. That's just a 'plus', not required.
- Proficiency in Microsoft Office (Excel, Outlook, & Word) required. Candidates must be familiar and comfortable working with Excel.
- Experience working with Accounting systems preferred, but not required.
- Excellent written and verbal communication skills with strong attention to detail and organizational skills required.
- Ability to work independently with minimal supervision required.

Salary : $58,656 - $63,000
