The Office Associate for the Health and Human Services Department provides office support and customer service to the Health & Human Services Department. The position will perform the following duties: Answering multi-line telephone system; screening and directing telephone calls; greeting and assisting visitors/clients; scanning documents and files; using computer applications in various systems; scheduling, file maintenance, receiving payments, processing mail, and other clerical duties as required.

Essential Duties
Must possess a High School diploma or equivalent. Vocational/technical training in an office support-related field with one year of office experience or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Excellent telephone and customer service skills with the ability to effectively and professionally communicate with the general public, orally and in writing, on a daily basis. Strong computer skills with a working knowledge of Windows and internet-based computer programs and proficiency with Microsoft Office and Adobe applications. Ability to work both independently and as part of a team.

- Operates multi-line telephone system.
- Receives, screens, and directs telephone calls.
- Takes and relays messages.
- Income maintenance lobby services as required by WI Statutes.
- Greets and assists visitors/clients.
- Provides information to visitors and callers.
- Provides follow-up on some technical information.
- Assists with department applications.
- Refers visitors/clients to the appropriate person or agency.
- Maintains appointment schedules and calendars.
- Enters and maintains information on several types of computer software, word-processing, records management, and spreadsheets.
- Type moderately difficult correspondence, memos, forms, reports, meeting minutes, agendas, and other materials, some of which may be confidential, from written and oral instructions.
- Supports department staff and supervisors by completing requested tasks.
- May update lists and other department records.
- Redaction of sensitive and confidential client records.
- May perform payment authorization data entry.
- Maintains departmental files (scanning, filing, sorting and file destruction according to policy guidelines).
