What are the responsibilities and job description for the Part-Time Deputy Clerk position at Douglas County?
Position performs routine clerical work and duties that follow well-established procedures set forth by the District Court Judge and Court Administrator. Position requires performance of all operating tasks associated with the Court.
ESSENTIAL JOB FUNCTIONS
- File management: file new cases, attach AKA’s, verify prior/current address, image and link documents.
- Set hearings, sit in court, operate recording system, make log notes, keep accurate minutes and mark exhibits.
- Create accounts receivable; handle NSF checks; refer defendants to collection; and process warrants, citations, subpoenas, garnishments, writs, and pleadings.
- Track compliance with court orders and report noncompliance.
- Counter and general office procedures including phones, filing, copying, etc. Collects, receipts, audits, and applies money to fines, fees, restitution and civil matters;
- Issue fail to respond and fail to appear information to the Department of Licensing; assess additional penalty per the judge, handle bail postings, refunds, forfeitures and exonerations; and corresponds by phone and in writing to bonding companies.
- File domestic violence, harassment, sexual assault and stalking protection orders. Assist petitioners and fill out paperwork in accordance with court rules and the Judicial Information System procedure's manual.
- Coordinate video for incarcerated hearings, prepare appropriate paperwork, and send and receive jail documents.
- Perform routine duties associated with accounting: end of day, end of month, end of year, remittance and voucher.
- Direct case files to judge for review and judgment and operate the video equipment for hearings.
- Prepare and complete after court paperwork; and communicate with other departments, treatment facilities; and transfer cases to other courts.
- Comply with schedules; court retention rules; Data Dissemination Policy; and Code of Conduct for Court Employees.
- Provide backup for other clerks.
- Perform other duties as directed or required.

KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS
- RCW’s, State Court Rules, and Local Court Rules of Douglas Counties.
- Policies and procedures governing the court; and Judicial Information System procedure manual.
- Statutory function of the District Clerk, legal terminology, and clerical procedures related to District Court as a court of limited jurisdiction.
- Operate a personal computer and software necessary to perform the requirements of the job.
- Effectively dealing with people who may be emotionally charged by issues and information.
- Advanced skills with computers and software with an emphasis in the MS Office Suite.
- Meet deadlines while maintaining flexibility necessary to accommodate any given situation.
- Maintain composure under stressful situations and provide problem-solving techniques.
- Follow verbal and written instructions and keep accurate records.
- Establish and maintain effective working relationships and good public relations with other employees, agencies, property owners, and the general public.

Supervisory Responsibility
- This position has no supervisory responsibilities.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS
- Duties are mainly performed in a high traffic and noisy office environment with several interruptions and in a courtroom setting with testimony of a sensitive and stressful nature.
- Directly interacts with Court Judges, Court Commissioners, Prosecuting Attorneys, Defense and Civil attorneys and Adult and Juvenile criminal offenders.
- Work is performed in an office and field setting with extended periods of sitting, standing, bending, kneeling, walking, and lifting (up to 40 pounds waist high).
- Driving, climbing stairs, and walking outdoors on uneven terrain in a variety of weather conditions.
- May work an alternative schedule at the sole discretion of the County.
- Potential for working evenings, occasional weekends, holidays, overtime, and out of town travel.
LICENSES, CERTIFICATES AND OTHER RECRUITING REQUIREMENTS

- Any combination of experience and education, which provides the applicant with the desired skills, knowledge and ability, required to perform the work.
- High school diploma or GED.
- A valid Washington State Driver’s License is required.
- A background security check may be required if a job offer is made.

Pay: $23.45 - $26.74 per hour
