The ideal candidate will provide top-level assistance for a Top Tier Real Estate agent. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Executive Support: Manage and coordinate the executive's calendar, appointments, and meetings. Prioritize tasks and assist in planning for day-to-day operations.
- Real Estate Showings: Schedule, organize, and occasionally conduct property showings, ensuring a smooth and professional experience for clients. Be prepared to present property features and answer client questions.
- Client Relations: Serve as the primary point of contact for high-net-worth clients, ensuring exceptional service. Handle client inquiries, manage follow-ups, and support throughout property transactions.
- Administrative Support: Provide general office support, including managing office supplies, preparing documents, and assisting with the preparation of real estate contracts, listing presentations, and marketing materials.
- Communication: Draft, proofread, and manage correspondence with clients, vendors, and internal stakeholders. Maintain confidentiality and professionalism at all times.
- Event Planning: Assist with the planning and execution of luxury real estate events, including open houses, private showings, and client appreciation events.
- Document Management: Prepare and organize contracts, listing agreements, and other real estate documents. Ensure all documents are signed, filed, and stored appropriately.
- Transaction Coordination: Assist with managing the process of real estate transactions, including monitoring deadlines, communicating with clients and vendors, and ensuring all paperwork is completed accurately and on time.
Qualifications
- Bachelor's degree or equivalent experience
- Experience in Real Estate - Ideally licensed
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Bilingual
