This is a full-time Office Assistant position located at our Burbank office, 4001 W. Alameda Avenue, Suite 211, Burbank, CA 91505. We strongly prefer candidates who are bilingual in Spanish and reside within a reasonable commuting distance to Burbank. The salary for this position is $20 to $23 per hour, depending on experience. The work hours are from 9:00 AM to 5:00 PM.

Job Summary:
The Office Assistant will play a vital role in ensuring the smooth and efficient running of our office. This position will provide support to the management team, assist with various administrative tasks, and help maintain a positive and organized work environment. The ideal candidate will be professional, highly organized, and capable of multitasking in a dynamic environment.
Key Responsibilities:
- Greet visitors and clients in a professional and friendly manner, ensuring a positive office atmosphere.
- Manage incoming calls, emails, and correspondence, directing them to the appropriate staff members as needed.
- Responsible for mail pickup and deposits at bank.
- Organize and maintain physical and electronic files, ensuring that records are accurate and up to date.
- Coordinate and schedule meetings, appointments, and events for the management team.
- Prepare, edit, and distribute documents, reports, and presentations as requested.
- Assist in the preparation of meeting agendas, taking minutes, and following up on action items.
- Manage office supplies, equipment, and inventory, ensuring that the office is well-stocked and functional.
- Provide support for special projects, research, and other administrative tasks as assigned.
- Support other departments as needed to facilitate efficient office operations.
- Maintain confidentiality of sensitive information and uphold company policies.
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred.
- Possess basic knowledge of Accounts Receivable (A/R).
- 2 years of experience in an administrative or office support role.
- Excellent verbal and written communication abilities.
- Exposure to property management, real estate, and software systems such as AppFolio or Yardi is an added plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace (Gmail, Docs, calendar, etc.) familiarity with office equipment.
- Excellent organizational, time management, and communication skills, both written and verbal.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team in a fast-paced environment.
