What are the responsibilities and job description for the Billing Analyst (Construction) position at Down to Earth Landscape & Irrigation?
The Billing Analyst will provide support to the Business Contract Manager for the construction division in the day-to-day operations of essential administrative duties. To include construction billing and any additional support as needed.

- Insurance & W9s
- Initial Welcome Letter Package Emails to clients
- Maintaining & Updating Project Logs/Spreadsheets (Billing, NTOs, Revenue Reports)
- Track required deadlines set forth by the contract requirements and send reminders as needed.
- Filing NTOs & File Liens when needed with accurate tracking and logs
- Releases (Final & Partial) per Branch Location
- Applying Payments Received and updating the Daily Deposit Tracker
- Assist with AR Aging process
- Assist in construction billing
- Assist with Various project portals and setups per contract requirements
- Answer construction related phone calls
- Contact customers according to the billing/payment terms for Payment Status as needed.
- Additional duties as assigned

- Minimum of a high school diploma with a minimum of 3-5 years of relevant experience
- Time management skills
- Works well with a team and capable of working independently
- Understanding relationships, roles, and responsibilities of the project team related to subcontracts and subcontractors
- Strong Oral and Written Communication skills
- Knowledge of Microsoft Excel (including formulas), Word, Outlook, PowerPoint
- Strong understanding of construction documents, including AIA G702 & G703 pay applications, bonds, releases, change orders, and NTOs
- Understanding of Florida Construction Lien Laws
- Understanding of COI & Endorsement Insurance Requirements
- Must be able to sit for long periods of time, multi-tasking, and time constraints
- Ability to manage multiple projects at any giving time
- Experience with Aspire, Autodesk, Acumatica or similar Financial or Construction Management Software essential
- Active/Current Notary License highly preferred
