POSITION SUMMARY : The Financial Analyst position provides support for the Finance Director and Senior Leadership in accordance with established fiscal procedures. This position works regularly with internal fiscal and programmatic staff and Senior Leadership. The Financial Analyst will be responsible for supporting internal financial reporting, the budget process, compliance with contractual and regulatory obligations, reporting to funders, the audit and monitoring processes, and efficient fiscal operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Become familiar with Agency contracts to learn their financial requirements, adhere to their requirements, and assist management on needed actions to ensure the agency's actions are in compliance with Federal, State, Office of Management & Budget (OMB) Uniform Guidance regulations and laws, and Agency policies and procedures.
- Review and monitor coding of staff time to programs.
- Review budget vs. actual each month and follow-up with program directors. Report highlights, variances, and concerns to the Finance Director for board presentation.
- Compile monthly, quarterly, contract closeout reports and other reports required by funders for Finance Director's review prior to submission.
- Prepares contract related billings and submits to respective agencies (e.g., Maine Housing, CSBG).
- Provide analysis of trends and forecasts and recommend actions for optimization.
- Prepare and report on any necessary financial data for RFPs and RFQs.
- Calculates and enters Agency's quarterly PTO liability into General Ledger.
- Participates in annual audit and / or fiscal monitoring as needed by the Finance Director, including the creation of all financial statements / notes provided to the Independent Auditor, such as the Federal Schedule of Awards (SEFA) and Schedule of Department Awards (SEDA), and the annual Form 990.
- Prepare responses to funding source inquiries.
- Prepare and finalize internal and external budgets, in coordination with program directors. Assist Finance Director in various aspects of annual budget creation and enter the budget into the General Ledger.
- Assist Finance Director with review and calculation of allocations.
- Assist Finance Director with review and calculation of indirect costs and rate.
- Reconcile balance sheet accounts, including bank and investment accounts; prepares adjustments to accounts as necessary.
- Work with other fiscal staff to streamline and document financial processes and share / educate with other departments across the agency.
- Assist the Finance Director with maintaining robust internal controls over agency assets.
- Develop, maintain, and distribute ad-hoc reports and financial models as needed.
- Performs miscellaneous fiscal duties; assists Finance Director in research, analysis, and special projects.
- Will serve as back up for AP and PR.
- Cross trains with other department positions to maintain Fiscal Department efficiency during coworker absences.
