Location: we have two locations - one in Columbia, KY and one in Russell Springs, KY. The applicant will begin training in Columbia. This job may require work at both locations.
The Front Office Staff plays a crucial role in creating a positive first impression for visitors and clients. This role involves managing daily office operations, assisting with customer inquiries, and performing administrative duties to ensure the smooth running of the front desk.
Key Responsibilities:
Customer Service:
- Greet and welcome patients in a professional and friendly manner.
- Answer and direct phone calls
- Provide information about the organization, services, or products.
- Assist with patient check-ins and check-outs
- Address patient complaints or inquiries promptly and professionally.
Administrative Support:
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule appointments
- Maintain office supplies and place orders when necessary.
- Organize and maintain filing systems, both digital and paper.
- Assist with data entry, filing, and other clerical tasks as needed.
Communication:
- Relay important messages or information to relevant staff members.
Office Organization:
- Maintain the cleanliness and organization of the front office area.
- Ensure the reception area is well-stocked
Billing and Financial Assistance (if applicable):
- Handle basic billing inquiries and process payments
- Manage petty cash or assist with cash handling duties.
Skills and Qualifications:
- Education: High school diploma or equivalent
- Experience: Previous experience in a customer service or administrative role is preferred.
- Technical Skills: Experience with office equipment (phones, fax machines, printers).
- Communication Skills: Excellent verbal and written communication skills. Ability to interact with individuals at all levels.
- Organizational Skills: Ability to manage multiple tasks efficiently and maintain a high level of attention to detail.
- Problem-Solving: Strong ability to handle customer inquiries and resolve issues in a timely manner.
- Professionalism: Demonstrates a professional appearance and attitude at all times.
Job Type: Full-time
Pay: $12.01 - $15.03 per hour
