-Objective:

As the Assistant Downtown Baraboo Manager, you’ll play a vital role in the administrative operations behind the scenes that help market Downtown Baraboo as a tourism destination. The assistant role contains a variety of duties that include administrative office tasks such as maintaining spreadsheets regarding budgeting for events, membership, and of the general ledger, aid in developing social media plans, capturing photographs for promotional purposes, and assisting in the coordination, planning, and implementation of special events and projects. You’ll be required to participate in weekly business meetings along with assisting the Downtown Baraboo Manager with other tasks as needed. Ideal candidate will convey personable skills, outgoing and enthusiastic, as well as detail driven.

Event Coordination

· The Assistant Downtown Baraboo Manager will aid in communication with vendors, businesses, performers and other partners to plan and implement our events along with general marketing of the Baraboo community. This position is responsible for tracking participants, payments, assigning vendor spots, and promoting our events along with other tasks assigned by the board and Downtown Baraboo Manager. Some of our events include:

Spring and Fall Fairs on the Square

Spring and Winter Wine Walks

Brew Ha-Ha Beer Walk

Mocktail Crawl

Old Fashioned Day & Made in Baraboo Market

Christmas Market & Christmas Light Parade

Sunday Markets

These events are promoted through print, social media, website, blogs, press releases & other various outlets as the Events and Marketing Committee determine. This may require your attendance at the events during evening or weekend hours.

Administrative Duties

-Maintaining spreadsheets for event budgets, marketing budget, membership roster, etc.

-Obtaining mail, updating and submitting a weekly general ledger to board treasurer and bookkeeper.

-Attend weekly Friday meetings with business members, monthly committee meetings, and board meetings (optional).

-Communicate with Downtown Manager regarding questions, concerns from vendors and members.

General Promotions

· Be a part of creating and managing opportunities for members, along with the Downtown Baraboo Manager, to participate in cooperative advertising or other promotional activities.

· Assist in the creation and distribution of the Downtown Baraboo maps

· Create, collect and inventory photographic images for use with event and online promotions in conjunction with the Downtown Baraboo Manager.

· Produce accurate and compelling content for websites, blogs, social media channels, newsletters, and other publications

· Maximize exposure for Downtown Baraboo businesses and partners

· Track and analyze content performance statistics at regular intervals, compiling reports as needed

· Create recommendations to the DBI board on communication matters

· Cultivate and maintain professional relationships with a variety of external contacts, including city staff, community organizations, stakeholders, and vendors

· Attend board and committee meetings, including occasional evening hours

· Complete special projects and other duties as assigned

Knowledge and Skills Required

· Must have excellent written and verbal communication skills, including public speaking

· Must be well-organized and have up-to-date computer skills, including the use of Microsoft Excel, Word, Google Docs, Wordpress, Canva, etc.

· Basic design or graphics knowledge is desirable, as well as basic photographic skills

· Must possess a positive, cooperative attitude and have consensus-building skills

· Must be imaginative, entrepreneurial, and be a self-starter. Able to work both within a team and handle tasks independently.
