Position Overview

As a Remote Customer Service Representative, you will be the first point of contact for our patients and potential clients, ensuring they have a positive experience with Downtown Physical Therapy and Rehab. Your role will be to handle a wide range of customer inquiries and assist with appointment scheduling, billing, insurance verification, and other administrative tasks, all while maintaining a professional and friendly demeanor.

Key Responsibilities

Patient Inquiries: Provide exceptional customer service by answering calls, emails, and chat inquiries related to services, scheduling, billing, insurance, and more.

Appointment Scheduling: Help patients schedule appointments, confirm appointments, and reschedule as needed, ensuring an efficient and smooth process.

Insurance Verification: Assist with verifying insurance benefits and eligibility for therapy services, ensuring patients understand their coverage and responsibilities.

Data Entry: Accurately input patient information into our electronic health records (EHR) system and ensure all records are up to date.

Billing Support: Assist patients with billing questions, payment processing, and resolving billing issues. Work with the finance team to ensure accurate billing information.

Patient Communication: Follow up with patients on appointment reminders, cancellations, or treatment plan updates via phone, email, or text message.

Issue Resolution: Address any concerns or complaints promptly and professionally, striving to resolve issues to the patients satisfaction.

Collaboration: Work closely with the clinical and administrative teams to provide seamless patient care and improve customer service processes.

Qualifications

Experience: 1-2 years of experience in customer service, preferably in a healthcare setting or with medical terminology.

Communication Skills: Excellent verbal and written communication skills. Ability to communicate effectively with patients, families, and team members.

Tech-Savvy: Comfortable using various software systems, including CRM platforms, scheduling tools, and electronic health records (EHR) systems.

Problem-Solving: Strong ability to think critically and handle customer concerns in a calm, professional, and empathetic manner.

Detail-Oriented: Exceptional attention to detail with the ability to maintain accurate patient records.

Remote Work Skills: Must be comfortable working independently in a remote setting, managing tasks and responsibilities efficiently.

Availability: Flexibility to work varying hours, including evenings and weekends if needed.

Preferred Qualifications

Experience with insurance verification and billing procedures.

Knowledge of physical therapy services and terminology.

Previous experience in a remote work environment.

Familiarity with patient management software or EHR systems (e.g., Kareo, WebPT, or similar).
