Position Overview: We are looking for an experienced and detail-oriented Accounts Payable (AP) Specialist with 2-4 years of experience to join our construction finance team. The AP Specialist will manage the timely processing of invoices, employee expense reimbursements, corporate credit card transactions, lien waiver tracking, and vendor relationships, supporting the accounting department in day-to-day AP functions.
Key Responsibilities:
- Invoice & Payment Processing: Verify and process vendor invoices, match to purchase orders, and ensure accurate coding to cost centers and GL accounts. Process payments via check, ACH, or electronic transfer.
- Employee Expense Reimbursement: Review and process employee expense reports in line with company policies, ensuring timely payment and proper documentation.
- Credit Card Management: Reconcile corporate credit card transactions, review statements, and ensure accurate coding and compliance.
- Lien Waiver Tracking: Manage and track lien waivers from subcontractors and suppliers, ensuring timely submission and proper documentation for compliance.
- Vendor & Project Support: Maintain positive relationships with vendors, respond to inquiries, and support project managers in tracking job cost expenses and payments.
- Reporting & Reconciliation: Assist in monthly and year-end closing, reconcile AP accounts, and prepare AP-related reports. Support audits and maintain organized records.
Qualifications:
- Experience: 2-4 years in accounts payable, employee expenses, credit card management, and lien waivers, preferably in construction.
- Education: Associate’s degree in accounting, finance, or related field (preferred).
- Skills: Proficiency in accounting software (Sage, Procore, hh2, or similar), advanced Excel skills, strong attention to detail, and effective communication.
- Knowledge: Familiarity with construction-specific invoicing, employee expenses, lien waivers, and project cost tracking is preferred.
