We are looking for a highly motivated, self-starter with a positive attitude who is interested in joining our team as an administrative assistant. Attention to detail and great organizational skills are a must at this small, but very busy Detroit law firm.
As the Office Manager, you will be responsible for overseeing the day-to-day administrative and operational functions of our firm. You will work closely with attorneys, paralegals, and support staff to ensure the efficient and effective functioning of the office.
Key Responsibilities:
- Manage and optimize office operations to enhance productivity and efficiency.
- Oversee reception duties, including greeting clients, answering phones, and handling inquiries.
- Coordinate and schedule meetings, appointments, and conference calls for attorneys and staff.
- Maintain the office space, including ordering supplies and coordinating maintenance and repairs.
- Support client intake processes and assist in maintaining client records.
- Handle client inquiries and concerns with professionalism and discretion.
- Assist with legal research and document preparation, as needed.
- Handle incoming and outgoing mail, ensuring timely distribution and organization.
- Assist in managing attorney email accounts, organizing and prioritizing emails as needed.
- Maintain organized filing systems, both physical and electronic, for legal documents and correspondence.
- Create, update, and organize case and business files, ensuring accessibility and accuracy of information.
- Oversee postage and copy machines, ensuring they are well-maintained and functional.
- Assist in making travel arrangements for attorneys and staff when necessary.
- Handle banking tasks and miscellaneous errands as required.
Qualifications:
- Bachelor's degree in business administration, office management, or a related field (legal background is a plus).
- Proven experience in office management or a similar role, preferably within a law firm or legal setting.
- Strong knowledge of office software, including Microsoft Office and legal practice management software.
- Exceptional organizational, problem-solving, and multitasking skills.
- Excellent interpersonal and communication abilities.
- Should be capable of following instructions without the need for repetition
- Leadership and team management skills.
- Knowledge of legal terminology and procedures
- Discretion and the ability to handle confidential information with the utmost integrity.
