Key Responsibilities:
- Provide extensive administrative support such as preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy, tracking deadlines.
- Provide exceptional level customer service to internal/external customers.
- Ensure strict confidentiality of all patients, staff and company information.
- Collaborate with all site leadership and personnel to ensure site success, personnel needs are met and employee engagement efforts are maintained.
- Administer health and welfare plans, including enrollments and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.
- Manage sensitive and confidential matters like personnel relations, employee relations, and organizational changes, planning and protecting the security of information, data and files.
- Perform customer service functions by answering employee requests and questions.
- Develop, write and maintain job descriptions and job postings.
- Organize and coordinate recruiting process (create ads, manage on-line postings, schedule interviews, administer assessments, extend offers, prepare new hire paperwork).
- Schedule and conduct onboarding of new employees, ensure compliance with Federal Qualified Healthcare (FQHC) requirements.
- Coordinate with all new hire candidates to complete pre-employment screening processes and provide results to the manager/director.
- Process required new hire documents, including through payroll and HRIS, as well as verification and completion of Forms I-9 and maintenance of I-9 files.
- Schedule and perform new employee orientation and training.
- Prepare, maintain and purge employee files in accordance with retention requirements.
- Confer with or is guided by appropriate managers in all aspects of recruiting and onboarding.
- Maintain accurate and up-to-date human resource files, records, and documentation.
- Assist with planning and execution of special events such as benefits enrollment, annual and semi-annual compliance trainings.
- Support and facilitate leadership and management trainings.
- Serve as point person for timecard inquiries and/or issues.
- Assist with FMLA leave management.
- Responsible for organizing, maintaining, and verifying all aspects of the credentialing process for healthcare practitioners in compliance with FQHC standards and all legal and regulatory policies and procedures.
- Research and gather data for and complete provider credentialing and re-credentialing applications; monitor applications and follow-up as needed.
- Audit paperwork such as applications and licensing documentation for accuracy.
- Maintain copies of current state licenses, DEA certificates, malpractice coverage and any other required credentialing documents for all providers.
- Maintain provider contract files.
- Track license and certification expirations for all providers to ensure timely renewals.
- Process applications for appointment and reappointment of privileges to the appropriate agencies.
- Ensure Credentialing Policy and Procedure is followed and make suggestions for updates as needed.
- Provide credentialing and privileging verifications.
- Work with the directors and managers in reviewing employee performance appraisals and assisting in corrective action and employee terminations.
- Assist with the management of Workers' Compensation claims including: time loss, return to work, modified job duties, bona fide job offers for modified work, legal settlement and ongoing communication with workers' compensation carriers, claims adjusters and staff.
- Assist with insurance broker annually on employee benefit renewals and enrollments with carriers.
- Maintain confidentiality of provider information.
- Attend required internal meetings, trainings, and events.
- Contribute to team effort by assisting with projects as needed.
- Perform other necessary duties as required by the Community Health Center to meet the goals of providing primary health care.
Qualifications:
- Bachelor's degree (or equivalent) required, preferably in Human Resource Management, Workforce Development, Human Services, Organizational Management, Leadership, or related field.
- Minimum two years' experience working in human resources required.
Skills & Abilities:
- Strong communication, organizational, and interpersonal skills. Ability to multitask, problem-solve, and handle sensitive situations with empathy and professionalism.
- Familiarity with HR best practices, employment laws, and general HR operations.
