Job Description: Administration Assistant & Receptionist
Position Overview:
We are seeking a highly organized, friendly, and professional Administration Assistant & Receptionist to join our busy dental office. The ideal candidate will be the first point of contact for patients, will manage administrative tasks, and will ensure the smooth operation of daily office functions. This role requires strong multitasking abilities, attention to detail, and excellent communication skills.
Key Responsibilities:
- Patient Reception & Communication:
- Greet and check in patients as they arrive at the office.
- Answer phone calls, emails, and online inquiries, providing accurate information and addressing concerns.
- Schedule, reschedule, and confirm patient appointments.
- Handle patient intake forms, verify personal information, and update medical histories.
- Administrative Support:
- Maintain and organize patient records, ensuring accurate data entry and filing.
- Prepare and manage patient charts, documents, and treatment plans.
- Coordinate with dental team members to ensure smooth patient flow and timely appointments.
- Assist with billing and insurance verification, including processing payments and claims.
- Maintain accurate patient records and ensure compliance with HIPAA regulations.
- Front Desk Management:
- Monitor office supplies, restock as necessary, and maintain a tidy reception area.
- Manage patient wait times and ensure a pleasant and welcoming atmosphere.
- Handle any patient inquiries or complaints in a calm and professional manner.
- Communicate effectively with dental hygienists, dentists, and other staff regarding patient needs.
- Other Duties:
- Assist with filing and managing correspondence, such as letters, faxes, and emails.
- Provide general office support, such as photocopying, scanning, and faxing documents.
- Assist in marketing efforts, including patient reminders, newsletters, and promotional materials.
Required Skills and Qualifications:
- Proven experience as a receptionist, office administrator, or similar role, ideally in a healthcare or dental office setting.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Familiarity with dental terminology, procedures, and insurance processes is a plus.
- Strong organizational skills and attention to detail.
- Proficient with office software a plus (e.g., Microsoft Office, practice management software).
- Understanding of HIPAA compliance
- Ability to work collaboratively within a team while also being self-motivated.
Preferred Qualifications:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Previous experience in a dental office setting is helpful but not a requirement.
