Job Overview
The Front Desk is responsible for various front office duties to ensure the smooth flow of the clinic’s operations at peak efficiency. They provide exceptional customer service to all patients and team members.
Responsibilities and Duties
- Assist in the welcoming patients, scheduling, insurance verification and collection of payment from patients.
- Coordinate/lead (alongside DOM) team of Greeters, PCCs and Billers.
- Assist in completion of daily/weekly/monthly checklists for each role to ensure the clinic is operating efficiently.
- Assist patients in filling out required intake and medical forms.
- Correctly enter in patients’ medical history and medication list (if applicable)
- Scan any necessary documents and update the patient's profile.
- Inform patients of payment options (if applicable).
- Notify the clinical team when patients are ready.
- Ensure the reception area is maintained and professional in appearance.
- Prepare check-in notes for the next day to ensure a smooth check-in process for patients.
- Greet patients by phone, schedule their appointments within the scheduling software (FUSE) and create a positive, welcoming experience.
- Ensuring all dental insurance is active for the current month.
- Ensuring all dental history is accurate.
- Obtaining necessary insurance benefits and eligibility.
- Register new patients and maintain accurate patient records.
- Copy and scan documents into patients’ charts.
- Request chart/patient transfers.
- Verify/coordinate insurance coverages.
- Accurately enter billing charges from providers and submit claims to insurance companies. Assist patients with account issues.
- Resolve medical billing issues with insurance carriers and resubmit claims as needed. Investigate and help resolve denied claims and forward for prior authorizations as required.
- Assist in resolving past due bills or making payment arrangements for patients.
- Maintain patient confidentiality.
Qualifications
- High School diploma or equivalent. Secondary education is a plus.
- Proven dedication to provide high quality, comprehensive dental care.
- Ability to comply with safety procedures, rules, and regulations in order to maintain a clean and safe working environment.
- Good computer skills.
- Excellent communication and people skills.
- Attention to detail.
- Well-organized and reliable.
