Candidates should have a passion and desire to learn about regional arts and commercial programming. This internship will provide real-world exposure to the performing arts industry, such as: calendar management, contracting, completing financial settlements and reporting, ticketing systems, client relations, and general business operations.
POSITION SUMMARY
The Intern will be responsible for supporting the programming team, its initiatives, and goals. They will provide the highest level of customer service to all guests, vendors, donors, customers, and colleagues.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
Assist the Programming team in general administrative duties such as, but not limited to: answering phones; responding to venue rental inquires; photocopying and document distribution; document filing; document preparation; data entry in the department's offer tracking system Airtable: securing parking validations; email management and general administrative support.
Update and complete forms and spreadsheets with a high degree of accuracy.
Effectively use knowledge, skills, and resources to complete assigned duties and projects with accuracy and within the prescribed timeline.
Communicate progress on all projects.
Gain basic knowledge of ticketing and calendar management system to effectively assist clients and Programming team.
Maintain a professional and friendly relationship with other departments, colleagues, and partners.
Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
Able to effectively communicate in English in both written and oral forms.
Other duties as assigned.
KNOWLEDGE AND EXPERIENCE
Candidates must be pursuing a degree at an accredited college or university.
Experienced user of Microsoft Suite: Word, Excel, PowerPoint, Outlook and TEAMS.
Ability to perform mildly complex mathematical functions.
Demonstrated strong interpersonal and communication skills, both verbal and written.
Strong attention to detail and excellent organizational skills.
Ability to multi-task in a fast-paced environment.
Ability to work both independently and in a team.
Ability to demonstrate diplomacy and composure in all situations.
Ability to uphold the highest level of confidentiality.
SPECIAL CONDITIONS OF EMPLOYMENT
Office hours: must be available to work daytime hours Monday-Friday. Exact hours/days can be flexible based on school schedule.
