POSITION SUMMARY: The Catering & Events Coordinator is responsible for the seamless planning, execution, and follow-up of corporate events. This role involves assisting event logistics, on-site operations, and ensuring all administrative tasks are handled efficiently, including payment processing, vendor management, and event documentation. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively with clients, vendors, and internal teams to deliver exceptional event experiences.
ESSENTIAL FUNCTIONS OF THE CATERING & EVENTS COORDINATOR INCLUDE, BUT ARE NOT LIMITED TO:
- Update and maintain the corporate event calendar, ensuring event details (including early Pool closures and Guest Arrival details) are current and communicated to the proper teams.
- Track and process payments for events ensuring accurate records are maintained.
- Create initial event folders and organize related materials to support the Events Team.
- Updating the catering menu, and maintaining Events Department Catering Software Program (Tripleseat), ensuring dietary restrictions are accounted for, along with pricing, taxes, etc.
- Create Station Diagrams and timelines to optimize event flow.
- Coordinate vendor requests, including Restroom Attendants, equipment rentals, and other event-related services.
- Assist in staffing coordination for events, cross-referencing Hot Schedules for event staffing, ensuring that all roles are filled.
- Order event signage as needed.
- Print Menu cards, additional event signage, and event-day paperwork as needed.
- Oversee on-site catering during events, ensuring that all food and service meet high standards.
- Ensure the catering “strike” (breakdown) is done properly and efficiently.
- Write up catering recaps for each catered event, including photos, details of the event, and notes on what went well or could be improved.
- Order and manage inventory of office supplies and events decor.
- Track the status of incoming and outgoing deliverables, including inventory, client packages, and any other event-related materials, ensuring timely arrival.
- Maintain and organize office supplies, ensuring that all necessary items are stocked and accessible.
- Assist with site visits, including uploading logos and setting up event visuals (using screens).
- Take meeting notes.
- Close out BEO Files.
- Maintain confidentiality and use a high degree of discretion.
- Maintain a sense of teamwork and positive tone among staff.
- Assists and/or complete additional tasks as assigned.

EDUCATION / REQUIREMENTS:
- Proof of eligibility to work in the United States
- 21 years of age
- College Degree preferred
- 2 to 4 years’ experience in catering and event coordination or a similar hospitality role / club preferred
- Proficient in Windows Office, Microsoft Office a must, Excel, Catering Software such as TripleSeat/Delphi/Daylight preferred
