Job Overview: This unique role blends the responsibilities of managing travel arrangements and overseeing office operations to ensure smooth and efficient functioning. This role will be reporting directly to the GLT Operations Manager
Key accountabilities include:
- Organizing and managing travel arrangements for employees, such as air travel, hotel accommodations, dining reservations, and ground transportation.
- Assist with visa applications and other travel documentation as needed.
- Tracking and maintaining company travel issues, policy compliance, and expenditures, and generating reports on travel spending.
- Coordinating with service providers to ensure that all travel needs are met.
-Escalating any travel requests or concerns to the appropriate supervisor or manager.
-Organizing group activities during travel, such as sightseeing or dining at local restaurants.
-Oversee daily office operations, including managing office supplies, equipment, and facilities.
-Coordinate maintenance and repairs to ensure a safe and functional work environment.
-Serve as the point of contact for office-related inquiries and issues.
Knowledge requirements:
- Organizational Skills: Ability to manage multiple tasks and prioritize effectively
- Communication Skills: Strong verbal and written communication for interacting with staff, vendors, and clients
- Technical Proficiency: Familiarity with Microsoft Office Suite and travel management software
- Attention to Detail: Ensuring accuracy in travel arrangements and office management tasks
- Problem-Solving Skills: Ability to handle unexpected changes in travel plans and office operations
- Knowledge of Travel Regulations: Understanding international travel requirements, including visas and passports
- Customer Service: Providing excellent support to travelers and employees
Technical Competencies:
- Proficiency in Travel Management Systems: Familiarity with software like SAP Concur, Egencia, or similar platforms
- Expense Management: Ability to use expense management software and reporting tools
- Microsoft Office Suite: Strong skills in Excel, PowerPoint, and Word
- Booking Systems: Knowledge of online booking platforms for flights, accommodations, and transportation
Documentation: Ability to handle visa processing and other travel-related documentation
