We are seeking a highly organized, detail-oriented, and self-motivated Construction Administrative Assistant to support our project managers and ensure smooth day-to-day operations. Key Responsibilities
- Administrative Support: Provide essential support to project managers and field teams.
- Project Coordination: Maintain project contact lists, track permitting progress, and update the project team.
- Document Management: Prepare and manage contracts, change orders, NTO documents, RFIs, submittals, and logs.
- Permitting & Compliance: Facilitate contractor licensing and permit approvals across municipalities.
- Communication & Coordination: Answer calls, relay messages, and coordinate with clients, subcontractors, and vendors.
- Meeting Preparation: Prepare materials, set up conference rooms, and greet clients.
- File & Records Management: Maintain organized project files in Dropbox and project books, ensuring all documentation is properly scanned and saved.
- Closeout Process: Prepare and distribute final closeout documents.
- General Office Tasks: Process emails, mail, and courier items as needed.
Required Experience
- 5 years of administrative experience, including supervisory duties, organization, coordination, and performance of responsibilities at a high level.
- 5 years of clerical experience, involving detailed coordination and execution of administrative functions.
Skills, Knowledge & Abilities
- Strong organizational skills with the ability to prioritize multiple tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Procore experience is a plus but not required.
- Tech-savvy with experience using personal computers and document scanning devices.
- Excellent communication skills and the ability to assimilate and relay critical information effectively.
- Self-starter who can work independently and problem-solve with minimal supervision.
- Analytical thinker with the ability to make sound decisions and think outside the box when needed.
- Willingness to adapt and learn new skills to enhance efficiency.
- Notary Public certification is preferred.
- Bilingual candidates are encouraged to apply.
