We are seeking a highly organized and proactive Executive Assistant to support a fast-growing boutique law firm for its executive team. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our office and providing top-notch administrative support. Responsibilities
- Manage executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.
- Serve as the primary point of contact for internal and external communications, demonstrating excellent phone etiquette.
- Prepare and edit correspondence, reports, and presentations with a focus on accuracy and professionalism.
- Perform data entry tasks and maintain organized files to ensure easy access to important documents.
- Assist in office management tasks, including supply ordering and maintaining a clean work environment.
- Provide exceptional customer service to clients and stakeholders, addressing inquiries promptly and effectively.
- Proofread documents for clarity, grammar, and formatting before distribution.
- Collaborate with team members on various projects as needed to support organizational goals.
Requirements
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency in Microsoft Office Suite, particularly Outlook Calendar for scheduling purposes as well as Microsoft Excel for spreadsheets and PowerPoint.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong computer literacy with experience in data entry and office management software.
- Exceptional written and verbal communication skills to interact professionally with all levels of staff and clients.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive attitude with a willingness to take initiative in problem-solving situations.
