The Charter Coordinator is responsible for managing, scheduling, approving, and creating work assignments related to charter and field trip requests. The role requires adherence to payroll policies regarding overtime hours, and Department of Transportation (DOT) work restrictions. Pay range is $21.50-$25.50 depending on experience.
Responsibilities:
- Process field trip and charter business orders through online platforms, email, or phone.
- Enter and manage trip details using the company’s proprietary system and related software.
- Assign and post charter trips in compliance with Company policies.
- Plan efficient routes using modern GPS mapping tools and ensure timely driver coverage.
- Communicate trip details clearly to drivers and dispatchers.
- Generate real-time trip and performance reports for management using cloud-based data systems.
- Provide exceptional customer service, including communicating with clients, invoicing, and tracking payments.
- Perform administrative duties such as drafting communications, generating reports, and managing digital and physical files.
- Foster compliance with company policies, including sustainability and safety initiatives.
- Contribute to process improvements by leveraging technology for operational efficiency.
Job Requirements:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 3–5 years of experience in a customer service or transportation-related role required.
- Strong customer service, problem-solving, and interpersonal skills essential.
- Proficient with modern productivity tools, including Microsoft 365 and CRM platforms.
- Familiarity with online scheduling systems, GPS mapping tools, and cloud-based software preferred.
- At least one year of experience in field trip driving preferred.
- Strong verbal and written communication skills with professional telephone and email etiquette.
- Ability to adapt quickly to new technologies and tools.
- Highly organized and capable of working independently or as part of a team.
Required Education and Experience:
- Working knowledge of digital dispatching systems and two-way communication devices.
- Familiarity with regulations, company policies, and guidelines related to transportation and scheduling.
- Ability to learn new software, company procedures, and geographic regions quickly.
