Looking at a March/April start date depending on background and credentialing clearance.
Medical Support Staff (PRC), provide support services and assistance by performing medical support assistance, record keeping and miscellaneous support associated with beneficiaries.
- Assists in reviewing patient information to help determine eligibility for care, rules and regulations, the service delivery areas, tribal membership, and residence.
- Assists in examining alternate resources for patients under the program and screens for patient eligibility through the Medicare, Medicaid, Vocational Rehabilitation, and V.A., private insurance or other third-party programs.
- Assists in reviewing paper and electronic health records (i.e., scanned notes, reports, special tests; etc., collects patient medical information, patient visits, and discharge dates to complete medical referrals and decision of payments.
- Mails out denial letters to patients, providers/vendors. Maintains denial correspondence files, appeals including all necessary supporting documentation.
- On own initiative receives and distributes all mail. Ensure the letters requesting reconsideration for payment are made available to the supervisor in a timely manner.
- Works with the Service Unit medical staff to ensure appropriate documentation is recorded on the patient referrals in order for the outside providers/vendors to provide comprehensible and adequate patient treatment.
- On own initiative conducts follow-ups to ensure a referral with appropriate documentation are recorded automated record systems for the outside providers/vendors to provide adequate patient treatment.
- Provides clerical assistance in the reports and monitoring the cases.
- Provides excellent customer services to patients and visitors, answers inquiries or addresses requests, and directs them to the appropriate personnel.
- Assists in organizing program file systems.
- Respond to incoming messages promptly (fax, mail, and any other communication) in a timely manner.
- Assists with supply levels with suppliers, adding or removing supplies if necessary.
- Assists with office equipment ensuring is in working order and requests for service as needed.
- Participates in staff meetings, in-service and educational programs. Records meeting notes.
- Receives and directs telephone calls to appropriate parties utilizing proper telephone etiquette and basic interpersonal relationships to work with a variety of individuals.
- Fax referrals to receiving facility that request for them.
- Participates on behalf of patients for benefit determination or bills in collection.
- Proficient with MS Word, MS Outlook, MS Excel to send paperless bills and communicate with outside providers.
- Ability to use small office equipment, fax, scan, copier.
- Receives and/or gives out College Student PRC Eligibility forms, assists students with the completion of forms or documents.
- Assist with the Explanation of Benefits to patients, Vendors and medical providers.
- Uses Medical Coding, CPT code, HCPCS code, ICD-10 codes
- Uses medical billing methodology to coordinate benefits.
- Uses medical terminology.
- Assist with small researches for referrals and purchase orders.
- Works closely with assigned providers to ensure their open Purchase Orders are paid promptly
- Assists in canceling open Purchase Orders that are return from the provider as “no service or paid in full, etc.”
- Assists with Purchase Orders issued to avoid large carry-over each year.
- Assists with reconciling outstanding Purchase Orders with assigned payers and addresses any issues in a timely manner.
- Assists by encouraging teamwork and a collective approach to meet PRC’s goal for FY2025.
- Assists management to implement effective business practices to optimize prompt payment on behalf of patients.
- Participates in strategic plans through continuous improvement of the PRC payment cycle.
- Adhere to all aspects of the Indian Health Service Manual, Chapter 3 – Purchase & Referred Care and meet all
requirements to optimize prompt payment for Santa Fe Indian Health Center.
- Assists om reviewing pending Purchase Orders and claims with Vendors
- Work station is organized, tidy and clean on a daily basis, in compliance with Infection Control/Safety policies.
- Communicates with immediate supervisor to any operational problems.
- Ensure standards of Customer Service are upheld to ensure professionalism and positive reflection on the Purchase & Referred Care program, Indian Health Services and Department of Health and Human Services.
- Assists patients, team members, communities, outside providers, clinic staff and other stakeholders about the PRC program.
- No occurrence of any official interaction for family members (including but not limited to: processing referrals; purchase orders, case/care discussions, relevant decision making, official representation of mentioned activity)
- Uses Privacy Act of 1974 and HIPPA Regulations to maintain confidential information and health records, as an integral part of the interviewing function and as it relates to patient information and the processes of referral and consultation.
- Professional courtesy and respects the confidentiality of medical/charge information at all times.
Work Schedule:
Medical Support Staff services will be five days per week, Monday through Friday, 8:00 am to 4:30 pm, at least 40 hours per week.
Contractor Qualification Requirements:
Experience: The Contractor must have some experience, with a minimum of twelve months. The Contractor must have a resume that provides experience that equips the applicant with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
