JOB TITLE: Conference Center Coordinator
LOCATION: Philadelphia
OVERVIEW: Duane Morris LLP, a law firm with more than 900 attorneys in offices across the United States and internationally, is asked by a broad array of clients to provide innovative solutions to today's legal and business challenges.
SUMMARY: Assists Manager of Conference Services with all functions pertaining to the Duane Morris Conference Center, including meeting room & special event set-up, food services and reception desk coverage.
ESSENTIAL FUNCTIONS:
- Coordinates all aspects of daily meeting schedules, which include food services, equipment delivery and room configurations.
- Utilize meeting reservation software (NFS) to monitor conference room bookings. Assist internal and external personnel with creating new meeting reservations, and/or changes to existing reservations. Provide recommendations for room selection to accommodate meeting needs such as anticipated headcount, and/or audio visual needs.
- Coordinate with Reception to monitor and maintain inventory of office supplies in conference rooms, caucus rooms, and visiting attorney offices.
- Arrange room set-ups; coordinate with Reception Desk to maintain cleanliness and organization of each conference room pre and post meetings.
- Assist guests with making copies, scanning documents, and placing catering orders as needed.
QUALIFICATIONS:
- Minimum of 2-3 years of related job experience. Bachelors’ degree in Hospitality or related field or an equivalent number of years’ education/experience required.
- Bilingual fluency in Spanish-English is a plus.
- Ability to work a flexible schedule based on conference center activity.
- Excellent organizational, communication and interpersonal skills. Must be detail oriented.
- Proficiency in Outlook, Microsoft Office, Word, Excel and PowerPoint.
- Ability to anticipate client, attorney, and guest needs to ensure seamless operation of meetings and events.
- Ability to prepare conference rooms and equipment for each meeting in a timely, organized and effective manner.
- Must be a confident, independent thinker with strong problem-solving skills. Attention to detail is a must.
- Ability to organize and prioritize numerous tasks and complete them in a timely manner.
- Interpersonal skills necessary in order to communicate and interact with a diverse group of attorneys, staff, and clients, while safeguarding confidentiality.
- Outstanding project and time management skills.
- Able to lift and move furniture/equipment as needed.
