SUMMARY: We are seeking an experienced Receptionist to provide award-winning customers service to our clients. In this role, you are the first point of contact for our clients and have the ability to make a positive first impression. Day to day duties include providing secretarial, clerical and administrative support. The receptionist observes the confidentiality of clients and all Firm matters.
ESSENTIAL FUNCTIONS:
Reception:
- Welcomes and assists clients and visitors with professionalism and warmth.
- Answers and directs incoming phone calls in a courteous and professional manner.
- Maintains a neat and organized front desk and reception area.
- Registers all daily visitors with security front desk.
- Manages Chicago office conference room calendar.
- Secures meeting space for attorneys, clients and visitors inside the office.
General Office Tasks:
- Files and maintain records, copies documents, and schedules meetings.
- Inputs daily work orders of facility requests to building management.
- Handles incoming and outgoing mail, deliveries, and couriers.
Administrative Tasks:
- E-mails important announcements to staff members and attorneys as directed by Office Manager.
- Assists with light overflow of revising legal documents.
- Assists Legal Assistants with high volume work or mass mailings when necessary.
Other Duties:
- Prepares check requests.
- Submits office expenses and vendor’s invoices through Chrome River.
- Assists Office Manager with daily tasks as necessary.
- Maintains and assembles marketing materials when necessary.
- Orders catering for client meetings as well as attorney and staff meetings as requested.
- Tests firm video and computer equipment in conference rooms and assists with set-up of video meetings when necessary.
PREFERRED QUALIFICATIONS:
- Strong verbal and written communication skills.
- Professional demeanor with excellent interpersonal skills.
- Ability to multi-task and stay organized in a fast-paced environment.
- Precise attention to detail and ability to multi-task.
- Strong clerical skills: filing, data entry, basis math calculations and IT acumen.
- Writing and proofreading skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills.
EDUCATION AND EXPERIENCE
- High School degree or equivalent.
- 3-5 years’ previous experience in a fast paced legal or corporate environment.
- Prior experience in a receptionist, customer service, or administrative role preferred.
