TITLE: Building Administrative Secretary - Emerald Campus
JOB STATUS: FLSA Overtime Eligible
REPORTS TO: Building Administrator
DEPARTMENT: Academics and Student Learning
POSITION SUMMARY: To assist and relieve administrative supervisor(s) of paper work and impediments so that he/she may devote maximum attention to the central problems of education and educational administration.
JOB QUALIFICATIONS:
- A high school diploma or training and experience that are considered equivalent.
- An excellent knowledge of word processing, typing, filing, and operation of common office equipment.
- Three to five years successful experience as a secretary preferred.
- The ability to greet and deal with public, students, and school staffs courteously and appropriately, both by phone and in person.
- An ability to handle confidential matters set priorities and work well under pressure with an attention to detail.
- Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.
ESSENTIAL DUTIES:
- Uses computer applications effectively to create documents, databases, memorandums and presentation materials.
- Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
- Places and receives telephone calls, and records messages.
- Maintains staff database.
- Maintains accurate phone list including room phone, room number and voice mail number of every building staff member.
- Maintains and records all absences, personal leave, professional leave and unpaid days for entire staff.
- Maintains substitute folders and files along with substitute folder packet of information.
- Orders and maintains building supplies as needed.
- Maintains payroll timesheets for all classified staff and tutors, and completes bi-monthly deviation reports for payroll.
- Maintains all financial records, i.e.. building budgets, staff order requests. Inputs order requests for the entire staff into the PORQ system. Signs off on all purchases and signs warrant copy for payment of supplies received.
- Manages the building petty cash account including reimbursement and reconciliation. Counts, prepares cashier’s report, and bank statements for all monies deposited.
- Maintains a file of all equipment purchases for inventory, and submits completed Asset Acquisition forms to Central Office for inventoried items.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Welcomes visitors and arranges for their comfort and screens unexpected callers in accordance with predetermined policy.
- Assists students with problems or concerns when appropriate.
- Ensures the safety of students.
- Establishes and maintains cooperative professional relationships.
- Remains free of any alcohol or nonprescription controlled substance and abuse of any prescribed controlled substance in the workplace throughout employment in the district.
- Exhibits professional behavior, emotional stability, and sound judgment.
- Serves as a role model for students in how to conduct themselves as citizens and as responsible, and intelligent human beings.
- Understands the legal responsibility to help instill in students the belief in, and practice of, ethical principles and democratic values.
- Maintains confidentiality and respect for confidential information at all times.
- Other duties as assigned by the Superintendent or his/her designee.
TERMS OF EMPLOYMENT: 211 days (183 work days and 8 paid holidays); 8 hours per day, excluding lunch. Salary as determined by Negotiated Agreement. Work year to be established by the Board.
SALARY: $22.33HR - $24.72/HR
