Position Summary

As part of the library's Financial Services team, this position will compile, analyze, and report

the financial performance of DUL's Collections budget, through gathering data, organizing information, and analyzing historical results. Monitors expenditures and maintains financial records for the Duke University Library's materials budget of more than $15 million. This position will also perform a variety of complex accounting services in support of DUL and report to the Director of Financial Services.

Responsibilities

Collections Support / Reporting (50%)

  • Monitors, verifies and reconciles financial transactions against a $15 million materials budget using information obtained from the ILS and the University's financial resources; prepares complex reports and statements reflecting various data for use by library staff and for external reporting; monitors Acquisitions cash balance against budget; investigates and resolves expense variances in consultation with appropriate library staff, vendors, and university departments.
  • Adjusts the collections budget in the Integrated Library System (ILS) in consultation with the Head of Monographic Acquisitions and the Assistant University Librarian for Collection Strategy and Development, as appropriate.
  • Establishes effective communication with Duke Finance and vendors; answers inquiries regarding financial transactions and payment information.
  • Carries out year-end closing procedures and activities in coordination with staff of the Collections Services Division and University Accounts Payable.
  • Participates in the development, testing and implementation of enterprise solutions supporting the acquisitions functions. Makes recommendations to improve financial systems; analyzes deficiencies and reports them to the Director of Financial Services.

Financial Accounting (45%)

  • Performs complex professional accounting duties such as AP check requests, purchase orders, wire payments; monitors expenditures, corrects issues for multiple DUL
  • divisions.

  • Serves as Concur online travel initiator and corporate card administrator for multiple DUL divisions;
  • Prepares monthly general and standard journal entries, account reconciliations for all of DUL's Collections cost objects; investigates and resolves variances; provides interpretation of results as appropriate.
  • Serves as Initiator in Concur for the Monographic Acquisitions department; verifies and documents expenditures for all library collections.
  • Converts all foreign invoices to US dollar amount for Monographic Acquisitions Dept.
  • Analyzes financial information and prepares complex financial reports; provides statements reflecting budget utilization.
  • Other (5%)

  • Maintains Financial and Facility Services org charts, websites, Box folders, and Teams channels, updating information and documentation in a timely manner.
  • Serves as back up to Financial Management Analyst II and other financial support staff
  • Implements special projects and perform other duties as assigned.

    Education :

    Required : Work generally requires a Bachelor's degree in Accounting, Economics or a related business field or combination of relevant education and experience.

    Experience :

    Required : No experience required for candidates who possess a Bachelor's degree in a field of study related to the specific position.

    Preferred : Two years of experience in managerial accounting or financial analysis; Experience in the business or accounting unit of a large academic library; working knowledge of the accounting module of an integrated library system; expert knowledge of SAP R / 3; experience testing software. Advanced MS Excel experience.

    Salary and Benefits

    Duke is committed to transparency by posting the full salary range for all positions. However, Duke Libraries has established a specific hiring range for this role, which is set at $54,200-$56,000. All salary offers will be based on the candidate's years of experience and considerations of internal equity.
