Occupational Summary

The Program Coordinator in each of these areas supports the development, coordination, and implementation of administrative and fundraising activity of one or more pan-university campaign priorities with ambitious fundraising goals ranging from $600M to $1.5B by the end of the campaign.

In partnership with the Associate Vice President for Strategic Initiatives, the Assistant Vice President for Campaigns, the Associate Vice President for Student Experience, and Directors of Development in Strategic Initiatives and Duke Campaigns, the program coordinator will plan and coordinate fundraising activities driving donor cultivation and recognition as well as events and special projects. The Program Coordinator will coordinate and support new and emerging volunteer structures and programming associated with campaign and strategic initiatives. They will liaise with a broad community of advancement, academic, and administrative teams to organize and actively contribute to the development and management of administrative systems and data collection/dissemination.

The Program Coordinator for each specialty area will report directly to the respective Director of Development.

 

Glossary

Alumni Engagement and Development: centralized professional staff who engage, connect, and celebrate alumni, donors, and friends of Duke University.

Duke Campaigns: a team within AED responsible for designing and advancing the fundraising and engagement priorities of the university’s 10-year, multi-billion dollar campaign.

Strategic Initiatives: innovative new programs designed to tackle large-scale societal issues by leveraging philanthropy in a transformative way.

 

Work Responsibilities

Development Administration

  • Coordinate projects for the Strategic Initiatives and Campaigns teams in support of collaboration with other Duke Alumni Engagement and Development (AED) teams; undergraduate, graduate, and professional schools; and pan-university campaign priority areas.
  • Coordinate and contribute to planning and strategy meetings with development and/or academic leadership, including the Offices of the Provost and President.
  • Prepare reports and analyses setting forth progress on fundraising goals, faculty hiring, and other key performance indicators to assist AVP and/or Director of Development.
  • Create and maintain a proposal and solicitation tracking system in accordance with prospect management practices and procedures.
  • Track and enter data in donor database on behalf of AVPs and Directors of Development. Utilize prospect management tools and best practices to regularly clean and ensure data integrity.
  • Collaborate with AED Special Events and other event services coordinators to design, plan, and coordinate on-campus and off-campus events and donor activities as they relate to campaign and strategic initiatives. These events will build awareness of pan-university campaign priorities within the Duke community;
  • Feature faculty, research, and student programs that align with pan-university campaign priorities; showcase campaign priorities and strategic initiatives as part of Duke University’s comprehensive fundraising campaign.

 

Pan-University Campaign Priorities Liaison

  • In partnership with Directors of Development, serve as a liaison to frontline professionals in Alumni Engagement and Development and across all of Duke’s ten schools in support of assigned pan university campaign priorities.
  • Meet regularly with the AVPs and Directors of Development to determine, monitor, and assess fundraising priorities, projects, and proposals in support of assigned pan-university campaign priorities.
  • In partnership with Directors of Development, proactively communicate new and emerging gift opportunities to frontline fundraising teams.
  • In partnership with Directors of Development, assess donor proposals intended to support pan-university campaign goals to ensure alignment with programmatic and financial priorities.
  • Provide guidance and documentation to frontline professionals regarding pan-university campaign giving priorities and counting policies.
  • Maintain interface with administrators throughout Duke to coordinate participation in selected events; maintain liaison with other University offices and external individuals and organizations to coordinate necessary arrangements for programs and events.

 

Development Board Support

  • Provide support to volunteer and advisory boards associated with Duke Science and Technology, Duke Climate Commitment, or Duke Campaigns and related programs, including the onboarding of new membership, development of agendas, and coordination of special events.
  • Partner with AVPs and Directors of Development to develop strategy and volunteer engagement opportunities that support campaign priorities, strategic initiatives, and related programs.
  • In partnership with the Director of Campaign Operations and the Senior Director of Strategic Engagement, assist with the creation and coordination of Duke Campaigns and Strategic Initiatives volunteer structure.
  • Design and implement an intake process for volunteer and board nominations.
  • Support the Senior Director of Strategic Engagement in coordinating communications, events, and other activities.

 

Stewardship Planning and Coordination

  • Collaborate with AED and academic departments to design, coordinate, and deliver bespoke stewardship products such as customized reports and communications from leadership.
  • With the AVPs and Directors of Development, plan and coordinate the production and implementation of stewardship plans for donors to pan-university campaign priorities.
  • Serve as liaison to the Office of the Provost and/or Office of the President to track use of expendable gifts and coordinate the process for generating annual stewardship reports.
  • Coordinate with Donor Relations the drafting of individual stewardship reports for donors to pan-university priorities.

 

Content and Program Communications

  • Organize, coordinate, and distribute regular updates on pan-university campaign priorities to the AED and the university-wide advancement community.
  • Manage the design and distribution of appropriate materials for use by fundraising, alumni engagement, and communications staff relative to pan-university campaign priorities
  • Collaborate with AED Marketing and Communications to create development and alumni communications content as well as marketing and branding pieces for pan- university campaign priorities designed to build awareness, increase engagement, and inspire commitment to philanthropic support.

 

Administrative Support

Maintain calendars as needed for AVP and/or Director including scheduling internal/external meetings and alert to important dates. Prepare and/or provide necessary documents for their use in meetings. Attend meetings as requested to take minutes or assist in completing projects. Coordinate travel for AVP and Director of Development by creating and distributing call lists, sending and tracking donor outreach, compiling itineraries and processing travel expense reports.

Anticipated Pay Range:

 

 

Duke U niversity provides an annual base salary range for thisposition as USD $ 43,888.00 to USD $70,300.00.
