The Program Coordinator will advance a culture of hospitality and hospitable learning environment through the support of academic processes and services for all students at Duke Divinity School. This program coordinator will serve as the Disability Service liaison (DSL) for Duke Divinity with Duke’s Student Disability Office (SDAO) and facilitates DDS efforts to support students with ADA Accommodations.  This role also supports planning, coordination and administration of academic functions, including maintaining various academic records and systems and managing other programs, services, and events of the office of Academic Programs focusing on residential degree programs.

 

This role includes daily interaction in many digital systems including, but not limited to, People Soft (student information systems), CANVAS (learning management system), Anthology (portfolio program), Stellic (degree audit software), Evaluation Kit (course evaluations), and Qualtrics (survey tool). The Program Coordinator will collaborate with stakeholders using information from the daily use of these systems listed above to produce forward-facing messages delivered via advisement and marketing strategies.

 

The selected candidate needs to possess a high level of confidentiality, logic and reasoning in determining solutions to problems, event coordination and organizational skills, attention to detail, ability to multitask, as well as handle interruptions with grace. The Program Coordinator should possess strong interpersonal and communication skills—both verbal and written, with the ability to build, train and teach systems of structure with partners and stakeholders with integrity and ease. The Program Coordinator will advise students through course registration and degree completion. Experience in academic departments is required.

 

The Program Coordinator will report to the Assistant Registrar under the leadership of the Senior Director of Academics and Registrar.

 

 

Occupational Summary

Responsible for student services and academic functions, including direct advising and planning and execution of academic processes such as course registration, curricular certificate programs, portfolio, degree completion/graduation, and other functions of the office of Academic Programs; supports students with ADA accommodations.

 

Work Performed

Serves as the Disability Service Liaison (DSL) and main contact with Student Disability Access Office (40%)

 

  • Contributes to the development of a culture of accessibility, leading trainings, developing and creating presentations and learning opportunities for all, focusing on faculty and instructional support staff
  • Meets with students upon the approval of accommodations to set expectations; in partnership with others, provide students with ADA letters each term and manage all exam scheduling and proctoring
  • Supports programming and initiatives of the Center for Writing and Academic Support, including RISE planning and Canvas upkeep.
  • Facilitates course material preparation for ADA compliance and liaise with faculty and technical support staff to ensure compliance of course materials and learning management site.
  • Source and participate in committees that advance student success, including Student Support Team and Academic Policies Committee

 

Manage academic processes and systems (60%)

  • Manage promotion, application and approval processes of degree-based certificates. This includes entry into the student record system, providing updates to DDS Bulletin, catalog, websites, declaration process, and tracking in our student progress program, Stellic.
     
  • With direction from the Assistant Registrar, conceptualizes and distributes communications from Academics to all students about upcoming deadlines, and milestones for academic processes; manages student traffic, including Academics email account

 

  • Contribute to web presence and communication strategy of office of Academic Programs, updating materials and announcements regarding degree programs, registration forms, academic paradigms, etc.

 

  • In consultation with the Assistant Registrar, participate in each term’s course registration process; prepares and distributes Course of Instruction and daily Academic Calendar; tracks incomplete grade agreements and completes follow-up with faculty and students. Records updates into document sharing platforms for use in student success meetings
  • Builds, tracks and manages entire portfolio process for student learning assessment for all degree programs via Anthology.
  • Contributes to the student life cycle including advising, tracking and graduation clearance
  • Coordinates academic events, including Premiere Day, Certificate Days, RISE, Student Awards, and be the main contributor to school and university Commencement planning and programs
  • Support upkeep of Stellic under direction of Senior Director of Academics and Registrar
  • Facilitate instructional support assignments in consultation with Assistant Registrar

 

 

Minimum Requirements

Education/Training:

Work requires a bachelor's degree

Preferred: A master's degree in higher education, psychology, computer science, liberal arts or equivalent


Experience:

Work requires a minimum of one year of experience in administration of academics, student support, student records or similar function at the college or university level.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred: previous support of adult learners

 

 

Anticipated Pay Range:

 

Duke University provides an annual base salary range for this position as USD $ 43,888.00 to USD $70,300.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
