Salary range : $18.00 hourly
Status : Non-Exempt
Purpose : To facilitate the general office activities associated with the operation of the Bethel Substance Use Disorder Programs.
Essential Functions :
- Initial Contact : Act as the primary point of contact for the Port Rehabilitation Center, warmly engaging with prospective clients and referral sources. Address inquiries through phone, email, and in-person interactions with empathy and professionalism.
- Documentation Coordination : Collect all necessary paperwork, including comprehensive assessments, civil commitment paperwork, insurance details, and consent forms, to streamline the admissions process. Regularly update bed availability.
- Funding Verification : Confirm and secure funding prior to client admission to ensure a smooth admission process.
- Data Entry and Management : Maintain accurate and confidential records in the electronic health record (EHR) system, documenting admission inquiries, decisions, and follow-ups.
- Client Intake : Accurately record clients' demographic information in the EHR and facilitate the admission process by sending timely admission emails to billing and counseling staff.
- Transportation Coordination : Organize and maintain a transportation schedule for the duty driver, providing assistance with client transports as needed.
- Collaboration with Referral Sources : Foster strong professional relationships with all referral sources and distribute weekly updates regarding current bed availability.
- Office Function Coordination : Ensure the organization and efficient coordination of general office operations to support team activities.
- Supply Management : Oversee the ordering of office supplies and hygiene products for clients, ensuring timely and appropriate procurement.
- Team Support and Collaboration : Support team members and programs with designated duties, contribute to special projects, and coordinate effectively with other departments, particularly the billing department.
- Effective Communication : Demonstrate exemplary communication skills with clients, treatment teams, referral sources, and stakeholders, fostering a collaborative environment.
- Training Coordination : Collaborate with the Drug and Alcohol Counselor Supervisor to schedule and communicate makeup training sessions for staff.
- Public Relations : Cultivate and maintain positive public relations to enhance the agency's reputation in the community.
- Agency Representation : Represent the agency at local job fairs and educational conferences, promoting our mission and services to the community.
- Additional Tasks : Perform other duties as assigned by management to support the team and organizational goals.
