Job Description:
The Engineering and Homeowners Administrative Assistant provides support to the engineering and homeowners team by handling administrative tasks, organizing documents, and facilitating communication between the departments. Their role ensures smooth operations within engineering and homeowners projects and day-to-day activities.
Responsibilities:
· Maintain and organize records related to facility maintenance, equipment servicing, and vendor contracts.
· Responsible for the maintenance of billing information (work orders, invoices, HOA hours, VIP’s, PM’s) in the system.
· Process work orders, track maintenance requests, and ensure timely completion of tasks.
· Handle correspondence, emails and communication between the engineering team, homeowners’ team, vendors, and other hotel departments.
· Responsible for work orders being submitted monthly and reconciliation of vendor accounts after work orders have been posted.
· Prepare purchase orders, track expenses, and budgeting of engineering projects.
· Assist with budgeting, scheduling, and installation of special orders/requests from owners.
· Coordinate vendor and contractor scheduling for inspections, repairs, and installations.
· Assist with the coordination of home inspection repairs and ensuring the completion in a timely manner.
· Manage inventory and order supplies for maintenance needs.
· Assist with the inspections of homeowner units upon arrival.
Position Requirements:
· High school diploma or equivalent (associate or bachelor’s degree preferred).
· Previous experience in an administrative or support role (experience in an engineering or hospitality is a plus).
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative software.
· Strong organizational skills and attention to detail.
· Excellent communication and coordination abilities
· Knowledge of engineering terminology (preferred).
· Ability to work in a fast-paced environment and handle multiple priorities.
This position offers a five-day work week, Monday – Friday from 8:00am – 4:30pm.
Weekends and holidays as required.
