Assistant to the Program Directors - Education Salary: Commensurate with experience POSITION
SUMMARY: The position requires a candidate that is highly skilled and able to
demonstrate responsibility, autonomy, initiative and judgment, professionalism, poise, and the
maintenance of confidential and sensitive information. The position directly supports the Director of the Master’s
and Certificate Programs (Education Administration K – 12, Supervisor of
Curriculum and Instruction, Supervisor of Pupil Personnel Services, Supervisor
of Single Subject, Superintendent’s Letter of Eligibility) and the Special
Education Programs (Special Education Dual certification pathway, Master’s
PreK-12, and Master’s ABA). DUTIES AND RESPONSIBILITIES: Education Administration: Assist the
Program Director (PD) with all program matters providing organizational and
clerical support. Arrange
conference and professional travel. Track all program inquiries, leads and
applicants. Communicate with
applicants in SLATE (our admissions tool for enrollment management) the program
features via email and phone, maintain accurate records, follow up on any
missing materials including the graduate deposit, and create applicant files. Serve as an
advisor to students, explaining university policies and procedures, completing
university forms, tracking academic progress and student course selection. Prepare a plan
for students to complete full degree and the certification only programs. Assist the
Program Director in the preparation for our CAEP Accreditation and PDE Program
Review by collecting, organizing and entering electronic data for the Building
Level, District Level and Superintendent’s Letter of Eligibility Programs. Assist the
Program Director in the preparation for our CAEP Accreditation and PDE Program
Review by serving as editor of program narrative for the Building Level,
District Level and Superintendent’s Letter of Eligibility Programs. Knowledge of
accreditation and state certification would be beneficial. Understand and
enter data in Duquesne’s system for tracking student learning outcomes, the
WEAVE-Online assessment software. Review and update course schedules each term,
understanding the cycle of courses offered and adjunct needs. Contact adjuncts for availability. Maintain the
program Canvas site and the LiveText/Via electronic portfolio site. Update the
listserv site with new graduates’ emails. Review with
Program Directors and revise Program Resource Manual yearly. Order all
catering and plan program events. Participate in
program meetings, record minutes and follow up on action items. Manage
procurement card and related purchases. Coordinates and
executes yearly marketing and recruitment strategies. Special
Education: Assisting
the Program Director(s) with all program matters. Maintain records for the Special Education
Minor for the OT/SLP students, send application to faculty for review and
sending out acceptance or declination letters. Managing course schedules. Participate in program meetings, record
minutes and follow up on action items. Assisting Program Director in preparation for
CEC, CAEP and PDE program approval as well as ALOHA reports in WEAVE, entering
data and outcomes for all programs. Collect assessments and dispositions each
semester and track for accreditation. Conduct yearly review for exiting Ph.D.
students. Collect candidacy application for all master’s
students and send to faculty to review. Create surveys in Qualtrics for student, site
and supervisor evaluations, gather data, and prepare reports as needed each
semester as well as collect the data for PDE. Manual preparation and data input
in JE. Maintain our Via electronic portfolio site,
updating courses and rubrics each semester. Maintain the Special Education Program Canvas
site, updating forms, candidacy documentation for each student as well as
creating and deploying the orientation quiz each semester. Slate – process applications, schedule
interviews and send out acceptance or declination letters. Coordinates and executes yearly marketing and
recruitment strategies. Applied Behavior
Analysis: Assist the
Program Director (PD) with all program matters providing organizational and
clerical support. Support Master’s
students as they navigate application procedures and obtain clearances for
field placements in collaboration with other departments. Arrange
conference and professional travel for PD. Manage course
schedules in liaison and supervision of the PD. Assist PD in
preparation for program verification and accreditation needs (ABAI, LBS,
PDE-based courses etc., CAEP aligned courses). Collect student
assessments and dispositions each semester and create summary reports for PD to
review and follow-up on. Track data as
assigned by the PD for program verification, accreditation and annual review
requirements. Collect candidacy
applications for all master’s students and send to PD and/or faculty for review
and assessment. Create and
monitor practicum ABA and field supervisor evaluations, and prepare reports
each semester for verification, accreditation programs and PDE needs. Use Slate by
monitoring site, communication applications to PD, process applications,
schedule interviews for prospective students, and send out acceptance or
declination letters as approved by the PD. Edit and update
student handbooks as needed in liaison with PD. Attend all
program meetings, record notes, and follow-up on all assigned action items as
assigned. Act as the first
line of contact for prospective students, connect interested ABA students to PD
for additional information as needed. Coordinates and
executes yearly marketing and recruitment strategies. General: Assists with planning and
implementation (including attendance) of SOE sponsored events such as freshman
orientation, UG school sponsored student activities, hooding ceremony and SOE
commencement activities. Completes other duties as assigned.

REQUIREMENTS: Minimum qualifications: High school diploma. Experience with professional certifications
and accreditation reporting. Preferred qualifications: Associate’s degree from an accredited institution. Alternately, the successful candidate may possess any equivalent combination of
experience and training, which provides the knowledge, skills and abilities
required to perform the essential job functions. This includes, but is not
