What are the responsibilities and job description for the Financial Coordinator - Biology position at Duquesne University?
Under the general direction of the Chair for the Departmental Biological Sciences in the School of Science & Engineering, the Financial Coordinator is responsible for managing and controlling, accounting, budgeting, auditing and other financial or related functions to ensure the fiscal integrity of the Department.
DUTIES AND RESPONSIBILITIES:
Manages the overall budget for Biological Sciences and supervises all account functions, including overhead budgets, to ensure fiscal year is closed out properly.
Prepares detailed budget reports; and processes budget transfers and journal entries.
Provides budget assistance to the faculty, staff, graduate students, postdocs, technicians, and student clubs/organizations in Biological Sciences.
Operates with a certain amount of autonomy and frequently has sole responsibility for itemized tasks; position requires taking initiative and proactivity.
Anticipates financial needs and oversees annual budget development; designs budget systems and records that are compatible with the University’s account and reporting systems.
Advises Department Chair regarding financial decisions by providing accurate information regarding the financial status of individual accounts and interpreting University financial reports.
Processes Scheduled Payroll Authorizations.
Prepares detailed budget reports on a monthly, quarterly and yearly basis; audits current procedures to monitor and improve efficiency of operations.
Manages travel and accommodation for department seminar speakers and faculty job candidates.
Serves as liaison with the SoSE, Director of Business Administration; attends University business manager meetings as Department representative.
Prepares contract requests for faculty summer salaries, summer undergraduate research students and part-time faculty appointments.
Manages summer semester budget, from initial preparation, to request submission, and subsequent tracking of expenses.
Responsible for tracking and reporting the procurement card expenses.
Oversees/checks completeness of reports of business expense, authorized pay, schedule payroll authorization, non-schedule payroll authorization.
Performs responsible public relations duties through contacts and associations with visitors, University officials, and the general public; acts in a liaison capacity.
Collates annual faculty reports and data for annual Departmental report.
Manages registrar issues relating to course and University catalog descriptions; initiates production of course schedules.
Required to be in the office during certain times of the year to handle budget deadlines, school or University events, and other duties and or responsibilities that may be assigned. Scheduling flexibility is a must.
Performs related duties and responsibilities as assigned by the Chair.
REQUIREMENTS:
Minimum qualifications:
Bachelor’s degree from an accredited institution or 3 years of related experience.

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential duties and responsibilities listed above.
