Essential Duties, Responsibilities And Expectations
- Process payroll for all staff and clients. This includes but is not limited to registering new employees, verifying hours to pay from Kronos system, printing & distributing checks & direct deposit advices updating payroll and generating and maintaining computerized payroll reports.
- Maintain up-to-date deductions for staff & clients (including health, dental, garnishments, 401(k), food, dependent care, etc.)
- Maintain up-to-date PTO balances and backup reports
- Update payroll changes submitted by Human Resources and Program Services
- Manage staff flexible spending accounts; includes reimbursing employees, keeping backup documentation and printing quarterly statements. Process HRA claims.
- Prepare A/R payments for deposit, post accounts receivable and misc. cash, generate & maintain posting reports.
- Process accounts payable invoices which includes checking for appropriate back-up documentation, general ledger coding, and keying. Process invoice payments in a timely manner to take advantage of early payment discounts and avoid late pay service charges.
- Generate and maintain A/P & fixed asset computer reports.
- Record acquisitions and disposals of fixed assets.
- Tag fixed assets when purchased.
- Log and monitor shipments against customer purchase orders.
- Verify month end invoices against contracts, purchase orders & quotes.
- Randomly audit monthly CAP billing.
- Prepare cafeteria and bus ticket income for deposit.
- File quarterly payroll reports to include 941, State and ESC.
- Assist as needed during year end audits
- Provide back-up assistance for receptionist and other office staff when necessary.
- Process mail, monitor postage level and replenish when needed.
- Wage verifications
- Maintain bus tickets inventory
- Distribute petty cash
- Other duties as assigned
QUALIFICATIONS
- High school graduate with 2-3 years previous experience in payroll required
- Computer data entry experience required; data entry minimum of 6,000 key strokes on 10 key adding machine or calculator; ability to type (approximately 50 wpm)
- Good math recording, proofreading and checking skills
- Ability to operate a calculator, copy machine and other general office equipment
- Understanding of confidentiality requirements
- Understanding of legal requirements of payroll processing including, but not limited to, regulations covering individuals with disabilities, overtime requirements, exempt vs. non-exempt status and deduction (garnishment) regulations
- Ability to understand and follow verbal and written instructions independently
- Ability to use logic to solve problems
- Good organizational and oral and written communication skills; ability to work cooperatively with staff at all levels and clients
- Physical ability to carry, move or lift at least 35 lbs.; bend; climb; crouch; kneel; stoop and walk.
- Valid driver license and access to a reliable vehicle.
